Description
Documentation Specialist
Vibrant is seeking a Documentation Specialist to support the implementation and execution of documentation and compliance initiatives across the organization. The Documentation Specialist will assist with auditing data integrity and ensuring consistency and accuracy throughout the documentation process.
This position will provide staff education, guidance, and follow-up to promote accurate and compliant documentation of billed services. The Documentation Specialist will also help identify and address documentation concerns, mitigate organizational liability risks, and support a high standard of compliance and excellence.
The Documentation Specialist will play an important role in preparing the organization for Iowa Medicaid and Managed Care Organization (MCO) reviews and audits by supporting the development, implementation, and ongoing adherence to compliance policies and procedures.
Hours: Monday through Thursday 8AM - 5PM, Fridays 8 AM - Noon or 5 PM (explained during interview).

Key responsibilities include:
  • Conduct audits to assess the accuracy, completeness, and consistency of documentation.
  • Monitor documentation practices related to billed services to ensure compliance with applicable requirements.
  • Provide education and training to staff regarding documentation standards, compliance requirements, and best practices.
  • Follow up on identified documentation deficiencies and assist staff with corrective actions.
  • Support compliance initiatives and organizational quality-improvement efforts.
  • Help identify and mitigate potential compliance and liability risks.
  • Assist with preparation for Iowa Medicaid and MCO reviews, audits, and other compliance activities.
  • Promote consistent adherence to organizational policies, procedures, and regulatory requirements.
  • Maintain a high standard of accuracy, accountability, and professionalism in all documentation-related activities.
  • Other duties as assigned.

Essential Qualifications:
  • Demonstrated customer service skills and ability to de-escalate situations.
  • Ability to provide education and professional feedback to other employees.
  • Computer/keyboarding skills: Microsoft office, excel, PowerPoint, Adobe.
  • Having an interest in serving the elderly or people with disabilities and the employees who provide care to them.
  • Excellent verbal and written communication skill.
  • Ability to provide customer service to all types of people of different age, race, gender, socioeconomic status and special needs.
  • Be organized and detail oriented.
  • Having a positive attitude and be a team player.

Special requirements:
  • Ability to drive to work site locations
  • Ability to lift 25-50 lbs., bend, twist, kneel, reach, pull, push and carry
