Come join and see what our community is all about. The Processing Assistant IV is a customer-focused office role that helps keep agency services organized and accessible to the public.

Duties consist of a variety of office and/or technical tasks to accomplish the specialized processing of information, documents or materials and related work. Essential Functions Responsible for document completion, verification, problem identification and resolution; statistical, financial, and/or other record keeping; public contact including receiving and providing information and problem- solving; files maintenance and management; composition, calculation, and determination of an action or compliance; and office equipment operation. Interacts with clients, other employees and the public to gather, relay and explain information to establish and update records or to determine eligibility for services.

May supervise or coordinate the work of staff. Provides administrative and support services across multiple agencies, requiring regular coordination with DSS divisions including Income Maintenance, Child Support Services, Child Welfare, Adult Services, Foster Care, and Administration. Serves as the first point of contact for the general public and is responsible for the safety of other agency workers and other employees in the building by being constantly aware of activities in the lobby.

Serves as a liaison between the client and the caseworker for such things as direct initial contact with the client, assisting those clients whenever possible and/or routing those clients to the appropriate programs or worker. Processes and distributes all incoming mail and other items dropped off at the Front Desk according to protocol. Processes all outgoing mail for the Agency as well as other Agencies within the building, checking addresses for accuracy and determining appropriate mailing costs.

Collect payments from clients for varying programs, write receipts and posts to appropriate databases. Processes Child Welfare, Adult Services and Foster Care case paperwork through the NC State System as well as NC FAST. Maintains case files for Child Welfare and Foster Care, retrieves files from and returning files to storage in basement, and scans files to the County Attorney for Subpoenas.

Manages the upkeep, operation and maintenance of the agency equipment. Handles all maintenance and IT requests for the agency, submits the request and follows up to ensure work was completed. Maintains office supplies inventory for agency to ensure supplies are available.

Schedules vehicles for staff use, manages maintenance schedules, promptly reports mechanical issues, and coordinates necessary repairs. Manage the schedule and use of three DSS conference rooms and secure the use of other conference rooms when DSS rooms are not available. Recognize hazards and harmful or unusual behavior and alert the appropriate authorities of any assumed threat to the health and safety of employees in the agency/building.

Perform other related duties as assigned. Knowledge, Skills and Abilities Knowledge of office or work unit procedures, methods and practices. Knowledge of and ability to use correct spelling, punctuation and specialized vocabulary.

Knowledge of office accounting and record keeping procedures, mathematics and their application in the work environment. Ability to proofread. Ability to learn and apply a variety of guidelines.

Ability to use a variety of office equipment. Ability to work with people with courtesy and tact. Ability to screen communications based on predetermined guidelines to independently respond or route inquiries.

Ability to record and compile information based on general guidelines. Ability to gather and give information and instructions regarding the work process or procedures. Ability to balance and reconcile figures.

Ability to coordinate work of other support staff, student workers or volunteers. Ability to learn to use specialized office equipment. Physical Demands This work is sedentary and requires little to no exertion of force; work regularly requires sitting and using hands to finger, handle or feel, frequently requires standing, speaking or hearing and repetitive motions and occasionally requires walking; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, operating machines and observing general surroundings and activities.

Work Environment Work has no exposure to environmental conditions; work is generally conducted in a moderately noisy office location (e.g. business office, light traffic). To perform this job successfully, an individual must be able to perform the essential job functions satisfactorily

Education and Experience Minimum Education and Experience: Graduation from high school and demonstrated possession of knowledges, skills and abilities gained through at least two years of office assistant/secretarial experience; or an equivalent combination of training and experience.

Additional Requirements: Valid North Carolina Driver's License Successful completion of SBI background check with required fingerprinting by Sheriff Office.
