Description
The Project Coordinator provides administrative, operational, and logistical support to project teams to ensure projects are completed safely, on time, within budget, and in accordance with company standards. This role serves as a key liaison between project managers, vendors, subcontractors, clients, and internal departments by coordinating documentation, procurement activities, scheduling, reporting, and project controls throughout the project lifecycle.
Requirements
Document Control & Project Administration
  • Maintain and organize project documentation, including contracts, permits, drawings, specifications, submittals, Requests for Information (RFIs), change orders, and project correspondence.
  • Ensure all project records are accurate, up to date, and compliant with company and client requirements.
  • Coordinate project meetings, prepare agendas, document meeting minutes, and track action items through completion.
  • Compile, prepare, and distribute project reports, status updates, and other project-related communications to internal and external stakeholders.
  • Assist with document control processes and support project teams with administrative needs throughout the project lifecycle.
Procurement & Logistics Support
  • Coordinate with suppliers, vendors, subcontractors, and internal stakeholders to support project procurement activities.
  • Monitor purchase orders, material deliveries, and equipment shipments to ensure alignment with project schedules.
  • Track material status and proactively communicate delays or issues that may impact project timelines.
  • Assist in maintaining vendor documentation and procurement records.
Project Planning & Scheduling
  • Support project managers with project planning activities, schedules, and milestone tracking.
  • Monitor project progress and provide updates regarding schedule performance and deliverables.
  • Track labor hours, resource utilization, and project activities to identify potential risks or delays.
  • Assist with coordinating project activities across multiple departments to ensure timely execution.
Cost Control & Budget Administration
  • Support project teams with budget tracking, cost reporting, and financial documentation.
  • Monitor project expenditures and assist with maintaining accurate cost records.
  • Review invoices, vendor documentation, and billing information for accuracy and completeness.
  • Assist project managers with maintaining project budgets and identifying potential cost variances.
Quality, Safety & Risk Management
  • Support project compliance efforts by maintaining quality and safety documentation.
  • Assist with project audits, inspections, and reporting requirements.
  • Identify and communicate potential project risks, bottlenecks, or operational challenges to project leadership.
  • Ensure project documentation aligns with applicable regulations, company policies, and safety standards.
  • Promote a culture of safety and continuous improvement throughout project execution.
Qualifications
Education & Experience
  • Associate degree in Business Administration, Construction Management, Engineering, Project Management, or a related field preferred.
  • Minimum of two (2) years of experience in project coordination, project administration, construction, engineering, manufacturing, or a related industry preferred.
  • Experience supporting multiple projects simultaneously in a deadline-driven environment.
  • Experience working within EPC, industrial construction, material handling, conveyor systems, manufacturing, or related industries is a plus.
Knowledge, Skills & Abilities
  • Strong organizational, planning, and time management skills with exceptional attention to detail.
  • Ability to prioritize competing demands and manage multiple projects simultaneously.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • Experience utilizing project management software, ERP systems, or document control platforms preferred.
  • Strong analytical and problem-solving abilities.
  • Ability to work independently while effectively collaborating with cross-functional teams.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
