AMERI-CANS is seeking a full-time Customer Service & Dispatch Associate to join our team in Manassas Park, VA. This position serves as the communication hub between our customers, office staff, and field technicians. As one of the first points of contact for our customers, you will play a vital role in delivering exceptional customer service while helping coordinate the daily operations of each branch. The ideal candidate is organized, dependable, and thrives in a fast-paced environment where priorities change throughout the day. Job Duties and Responsibilities: (Essential Job Duties) Common activities listed below: actual position responsibilities may vary.

  • Serve as the first point of contact by answering incoming phone calls and responding to customer emails in a professional and timely manner.
  • Process new rental orders and accurately enter customer information into company software.
  • Prepare customer estimates, work orders, service confirmations, invoices, and related documentation.
  • Coordinate deliveries, removals, service requests, and schedule changes for existing customers.
  • Maintain accurate customer records and document customer communications.
  • Verify pricing, quantities, service frequencies, and billing information to ensure accurate invoicing.
  • Monitor daily field operations and communicate with technicians to help ensure routes and scheduled services are completed efficiently.
  • Provide technicians with customer contacts, site details, gate codes, directions, and other information necessary to complete service.
  • Communicate with customers on behalf of field technicians regarding schedule updates, service issues, site access, and other operational needs.
  • Resolve customer concerns by researching issues, coordinating with internal departments, and following through to completion.
  • Assist prospective customers by answering questions, preparing estimates, and converting inbound inquiries into rental orders.
  • Work closely with operations, dispatch, sales, and management to support daily business operations and provide an exceptional customer experience.
  • Perform general administrative duties including data entry, document preparation, filing, and other office support as assigned.
  • Represent AMERI-CANS professionally and positively during every customer interaction.

Qualifications:

Required:

  • High School Diploma or equivalent.
  • Previous customer service or administrative experience.
  • Strong computer skills, including Microsoft Word, Excel, and Outlook.
  • Ability to quickly learn new software applications.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Professional phone etiquette.
  • Basic math skills with the ability to prepare and review estimates and invoices.
  • Strong attention to detail and accuracy.
  • Excellent problem-solving and customer service skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Ability to work independently while contributing to a collaborative team.
  • Reliable with excellent attendance.
  • Valid driver's license.

Preferred:

  • Bilingual in English and Spanish
  • Experience with dispatch, scheduling, logistics, or route management.
  • Experience using ServiceCore or similar dispatch software.
  • Experience in the portable sanitation, construction, transportation, or service industries.

Abilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are the representative of the knowledge, skill and/or ability required. Position requires the ability to sit or stand for long periods of time; move fingers and hands, ability to stoop, crawl, bend, twist, reach, and crouch. Perform the essential duties with minimal or no supervision. Lift and carry up to 50 lbs.
