Job description

Service Writer

A Service Writer must provide support to drivers, mechanics and office teams daily as outlined below. This position is in a repair shop environment. You will handle the organization of shop workflow, writing up Work Orders, Purchase orders, overseeing a parts inventory, and providing end of month inventory counts. This is a seasonal paced work environment.

Qualified individuals will have a deep understanding of diesel engines, truck parts, DOT regulations, and heavy-duty repair processes. In this role, the ideal individual must have the ability to translate complex technical jargon into clear, understandable terms for the customer.

Essential duties and responsibilities:

  • Capacity to juggle multiple trucks, driver complaints, and technician questions simultaneously in a fast-paced, loud shop environment.
  • Write-up drivers repair needs
  • Communicate with the Drivers and Driver Managers through the repair process
  • Advise customers of the required repair and cost estimates
  • Communicate through email, work order, and verbal explanation
  • Create, Detail, Close, and Review work orders
  • Communicate repair needs to obtain proper approval, for repairs, when needed
  • Manage inventory stock levels
  • Core and part credit returns
  • Issue purchase orders
  • Work in unison with onsite repair providers to prioritize pressing repairs
  • Prepare warranty part returns and submissions back to manufacturer's
  • Driver support functions
  • EOM Inventory counts

Software Proficiency:

  • Applicants must be proficient with Microsoft Office Suite including (MS Outlook, MS Excel, MS Word, MS Teams).
  • Experience using computerized fleet maintenance, invoicing, and scheduling systems.
  • A high aptitude in learning new software applications specific to our organization such as McLeod, etc.

Must have good oral and written communication skills in order to effectively interact with customers, drivers and other team members in person, telephone and email. They must be customer service-oriented as well as team-oriented and must have good organizational skills. A successful Service Writer must be able to effectively manage multiple tasks simultaneously. Finally, they must be able to work a flexible schedule when needed to including weekends, evenings, and holidays.

Qualifications
  • Service Writer experience highly desired, but not required.
  • Communicate repair needs to obtain proper approval, for repairs, when needed.
  • Parts management experience.
  • High School Diploma (Required)
