Job description

Overview of Development Associate

The Development Associate will assist with all fundraising campaigns and events for the Corporation for Findlay Market (CFFM). They will maintain accurate records of all donations, grants, sponsorships and donor information in CFFM’s donor database, and will assist with grants tracking. This position is primarily Monday through Friday, with regular weekend and evening shifts to accommodate CFFM’s various onsite campaigns and fundraising events (this role acts as the primary Development team member responsible for onsite activation).

Time in this role is primarily spent on logistics and data administration, donor database management, giving page curation, financial tracking, and assisting with event management and donation solicitation.

Development Associate Role Description

The Development Associate will help raise money for vital Findlay Market initiatives and programs, market events, and general operating expenses. They will support the planning and execution of the annual Flavor of Findlay fundraiser, with a lead time of approximately six months of planning. They will support the planning and execution of Findlay Kitchen’s Small Bites, Big Impact fundraiser, with a lead time of approximately three months of planning. 

The Development Associate will manage the entire development cycle for a portfolio of individual donors. They will be responsible for maintaining accurate donor records in CFFM’s donor database, and for pulling appropriate reports to help cultivate donors and increase giving, as well as providing tax receipts and acknowledgement letters to all donors.

The Development Associate will work closely with the Chief Philanthropy & Strategy Officer to implement a transformational capital campaign; duties will include, but are not limited to, prospect research, donor outreach, onsite fundraising efforts, donation tracking and acknowledgements. 

The Development Associate will work closely with the finance team to ensure all funds are tracked appropriately, and will communicate development priorities to the communications and events team to collaborate and support.

The Development Associate will work to help create awareness among the general public that the Corporation for Findlay Market is a non-profit organization with many philanthropic endeavors through onsite fundraising campaigns, and by maintaining accurate records with Charity Navigator and GuideStar. 

The Development Associate will report directly to the Development Manager.

The Development Associate will have the following detailed responsibilities:

Principal Duties & Responsibilities:

  • Donor Cultivation & Individual Giving
    • Process donations, send thank you letters and tax receipts, and ensure accurate upkeep of BetterUnite donor database
    • Qualify, develop and maintain year-round relationships with a portfolio of individual donors and prospects
    • Assist with planning and execution of annual donor recognition events
    • Work with Development Manager to plan and execute Supporter Appreciation Month
    • Assist with planned giving inquiries and gifts
    • Assist with the creation and distribution of an annual giving report
    • Support Board giving through creation of annual Board pledge cards, donor cultivation plans, and more
  • Fundraising Campaigns
  • Manage ongoing Fundraising Brick campaign, including promotion, ordering, installation and donor recognition
  • Incorporate peer-to-peer giving as appropriate to reach campaign goals for seasonal fundraising activations
  • Assist with planning and execution of all Spring & Winter Fund Drives, including compiling donor outreach lists, creating individualized asks based on giving history, relationship and giving potential, addressing and mailing physical mailers, recording all donations, sending thank you receipts, building online fundraising campaign landing pages, and additional tasks upon request
  • Assist with having a visible onsite fundraising presence to engage and educate shoppers
  • Assist with additional fundraising campaigns as assigned 
  • Fundraising Events
    • Assist with planning and execution of annual fundraising event, Flavor of Findlay, including full responsibility for the silent auction, registration and fundraising raffles and games during a six-month planning period
    • Assist with planning and execution of annual Findlay Kitchen fundraiser, Small Bites, Big Impact, including full responsibility for registration and games during a three-month planning period
    • Support outreach to market merchants, Findlay Kitchen members and local chefs to participate in fundraising events
    • Assist with adding fundraising components to Findlay Market events, including staffing
    • Assist with planning and execution of any additional fundraising events
  • BetterUnite Donor Database
    • Act as the “BetterUnite Super User” – learn how to operate all facets of the database, including managing donor data and running reports
    • Be the most knowledgeable staff member who can educate and assist others with BetterUnite
    • Keep up with all BetterUnite updates and modifications, and implement any necessary changes 
    • Maintain internal grants tracking spreadsheet, and add all grant funds to BetterUnite
    • Maintain accurate donor, sponsor and grant records in BetterUnite
  • Assist with fundraising efforts and campaigns, and maintain accurate records of funders and sponsors for CFFM’s events and programs, including:
    • Findlay Kitchen
    • Findlay Learn
    • Findlay Launch
    • Nutrition Benefits 
    • Shopping App

Secondary Duties & Responsibilities:

  • Findlay Forward Capital Campaign
    • Maintain accurate records of CFFM’s capital campaign asks, pledges, and donations
    • Send appropriate acknowledgement letters and tax receipts to campaign donors
    • Support distribution of capital campaign marketing materials
    • Assist with long-term engagement plan for new donors to campaign
