OverviewThe Contract Administrator serves as the primary support in contract management for the sale and distribution of A-dec products. The incumbent is the point of contact for first level review of contracts and participates in process management to develop and uphold practices, procedures, policies, and internal controls. They work in tandem with internal sales force and teams to build strong relationships with Global School and Government Accounts, and Key Accounts.

JOB DUTIES AND RESPONSIBILITIES:

  • Works with the Contracts Manager and the Sales, Finance, and Legal teams on bid and proposal preparation, contract negotiation, contract review and administration for new and sustaining products.
  • Assists in building and maintaining a centralized database of contracts.
  • Recognizes and anticipates contractual issues and recommends solutions.
  • Manages and monitors the performance and obligations of long-term contracts and agreements.
  • Analyzes the impact of modifications and revisions to contract terms and prepare recommendations and risk reviews for leadership.
  • Develops, manages and continually improves government regulation compliance, including but not limited to compliance with FAR and DFARS flow downs from government contracts.
  • Tracks changes in FAR, DFARS, and CAS regulations and provides guidance on potential impact of these changes.
  • Prepares and disseminates information to appropriate employees regarding government compliance status.
  • Serves as point-of-contact for assigned customer portfolio and serves as customer interface on pre-contract and active contract activities.
  • Prepares necessary materials and documents for presentation of bids or proposals to customers. Coordinates and supports efforts to ensure that bids or proposals are prepared and presented in a manner that affords A-dec the greatest opportunity to obtain a contract award, while minimizing associated liabilities and risk.
  • Coordinates dealer agreement lifecycle including drafts, document reviews, signatures, and execution.
  • Develops milestone charts and schedules to meet critical deadlines. Identifies and assigns deliverables and expedites contract approvals while optimizing processes.
  • Validates data, resolves discrepancies, and problem solves as needed.
  • Operates effectively under ambiguous conditions that arise from complex customer requirements and communication across different time zones.
  • Responsible for assigned department projects including research, planning, and implementation.

QUALIFICATIONS:

Knowledge, Skills, and Abilities

  • Excellent written and verbal communication skills with strong ability to prepare and present materials to customers.
  • Ability to explain terms and conditions and government regulatory requirements and procedures.
  • Responds effectively to changing priorities and the ability to keep track of multiple projects on a continuing basis.
  • Ability to exercise discretion and independent judgment in the performance of duties.
  • High attention to detail and analytical skills. Strong initiative with the ability to realize potential for risks and problem solve.
  • Detail oriented, highly organized, with the ability to manage time, prioritize multiple tasks and meet deadlines. Ability to interact with internal and external customers and successfully accomplish tasks as part of a team.
  • Working knowledge of the FARs and DFARs and state government contracting regulations and experience with government contracts is strongly preferred or must demonstrate related skills, must be a quick learner willing to get up to speed on government regulations quickly. In addition to understanding existing regulations, you must be committed to keeping abreast of changes.

Education and Experience

  • Bachelor's degree in business, or a related field, with 1+ years of experience in customer service, operations, or related field or the equivalent combination of education and experience.
  • Experience in government contracts including Prime contracts, Subcontractor contracts, ECAT and VA Programs.

Preferred Qualifications

  • Prior government contract management experience, particularly in the manufacturing industry.
  • Experience in commercial documentation including Dealer Agreements, Terms & Conditions, Non-Disclosure Agreements and Contract Lifecycle Management.
  • Experience as a Paralegal, Legal Assistant, or in the legal field.
