Job description:
The Contracts Coordinator position will perform the following duties:
  • This clerical position supports the contract and bids process for our COLLEGE and UNIVERSITIES Food Service Customers. The contract/bid process includes the set up and maintenance of contracts and pricing, to secure prices for our customers, while maintaining profitability for our organization.
  • The Contract Coordinator must have strong verbal and written communication skills and be proficient at Data Entry. Strong Verbal and Written Communication is necessary with our Sales Reps, internal Customer Service Department, Purchasing Department, our Corporate Bid Department, and outside vendors.
  • Communicates and interacts with customers, vendors and co-workers professionally ensuring questions are answered accurately and in a timely manner. Functions as a team member within the department and organization, as required, and perform any duty assigned to best serve the company.

Administrative duties include, data entry, monitoring pricing and bid renewals, tracking customer usage and analyzing reports.
  • Maintain a log of bids received, copy bids and distribute to buyers for pricing, transfer bids to spreadsheet format for analysis purposes.
  • Create and maintain contracts associated with the bids; ensure all requirements outlined in the bids are achieved and provide analysis of bids for profitability.
  • Keep accurate records on file of all bids; check for accuracy in bid results and challenge any discrepancies.
  • May perform other administrative related responsibilities, such as oversee the creation of and maintenance of bid reconciliations inside and outside the company.
  • Performs other related duties as assigned.
Schedule: 8:00 am - 4:30 pm Monday- Friday -Potential for Hybrid after training

Required Qualifications
- High School Diploma / GED
- 6-12 Months accounting, accounting admin support or related area
- Must be proficient in EXCEL and MS Office Suite (Word, Outlook)
- Must be able to multitask in a fast-paced environment
- Strong communication skills, telephone and written
- Data entry experience

Preferred Qualifications
- Minimum 2 years administrative/clerical support in office setting experience
- 1-2 years accounting, accounting admin support or related area
- Minimum 2 years Data Entry Experience
- Previous bid data entry, customer service or other related office experience in foodservice distribution industry preferred
