Job description

The Contract and Credit Specialist supports customer account administration, credit and collections activities, and contract-related processes across the Carroll Motor Fuels organization. This role is responsible for maintaining accurate customer records, coordinating account setup and credit reviews, assisting with contract administration, and partnering with internal teams and customers to resolve account, payment, and documentation matters.

This position requires strong attention to detail, sound judgment, excellent communication skills, and the ability to balance administrative accuracy with customer-focused problem solving. The role is well suited for someone who is organized, analytical, and comfortable working with contracts, account information, receivables, and cross-functional business teams.

Location: On-site at the Corporate Headquarters in Sparks, Maryland

Job Responsibilities

  • Facilitate customer account setup, maintenance, documentation, and related administrative processes.
  • Review customer credit information, monitor account activity, and support credit management efforts.
  • Professionally communicate with customers regarding account balances, payment delays, billing questions, and other account-related matters.
  • Partner with internal teams to resolve payment discrepancies, billing concerns, and other customer account matters.
  • Prepare, review, and maintain customer contracts and related business documents, ensuring accuracy and compliance with company standards.
  • Maintain accurate records for customer accounts, contracts, rebates, rent, and recurring account processes.
  • Support rebate and rent administration, reporting, process improvements, and special projects.
  • Collaborate with sales, accounting, legal, operations, and management teams to support customer and business needs.
  • Protect confidential customer, financial, and contract information while following company policies and applicable regulations.
  • Perform other duties and special projects as assigned.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent written, verbal, and customer communication skills.
  • High attention to detail and accuracy when reviewing account information, contracts, and reports.
  • Strong analytical, problem-solving, and decision-making abilities.
  • Professional customer service mindset with the ability to handle sensitive account matters tactfully and confidentially.
  • Ability to work independently and collaborate effectively across departments.
  • Working knowledge of accounting, billing, receivables, credit, or contract administration processes.
  • Ability to identify potential risks, escalate concerns appropriately, and maintain accurate documentation.
  • Proficiency in Microsoft Office, including Excel, Word, Outlook, and Teams, with the ability to learn new systems and software quickly.
  • High level of integrity, professionalism, confidentiality, and dependability.

Education and Experience

  • Experience in communicating with customers regarding account balances, payment issues, documentation, or service-related concerns preferred.
  • Prior experience with contract administration, credit review, customer account setup, and/or receivables processes is a plus.
  • Associate or bachelor’s degree in business, accounting, finance, legal studies, and/or a related field preferred; equivalent experience will be considered.
  • Experience in fuel, energy, transportation, and/or related industry is beneficial.
  • Legal, contract management, and/or credit-related experience or certifications are advantageous.
