Job description

Position Summary

Legends Global, the premier partner to the world's greatest live events, locations and brands. have an excellent opportunity for a Contract Procurement Administrator at Puerto Rico Convention Center.

The Contract Procurement Administrator is responsible for managing the entire lifecycle of contracts and procurement processes within an organization. This position ensures all service contracts related to event operations, maintenance, and venue support are accurate, up to date. The ideal candidate thrives in a fast-paced, event-driven environment, is bilingual and experienced in managing documentation for both private vendors and government oversight bodies.

Essential Duties
  • Review all required service contracts to ensure they include all applicable terms, conditions, and compliance clauses; submit contracts to the PR District Authority for approval, after which PRCDA submits them to the Office of the Comptroller.
  • Assist in preparing and issuing Requests for Proposals (RFPs), Invitations to Bid (ITBs), and Requests for Quotations (RFQs): Ensuring that bidding documents are clear, complete, and compliant with policies and regulations.
  • Conduct detailed reviews of contract clauses as terms and conditions to ensure legal accuracy and alignment with venue policies.
  • Ensure that all services rendered to the venue-such as event production, cleaning, security, staffing services, and equipment rentals among others-have active and valid contracts in place.
  • Monitor all contract expiration dates, changes in scope, and proactively coordinate renewals, amendments to avoid service disruptions, assist with contract extensions and proper closure upon completion. (including the following: Insurance Policy, Merchant registration and Single Registry of Bidders if apply).
  • Meet with department directors to fully understand the scope and need of contracted services and ensure vendors meet their contractual obligations in terms of cost, timelines, deliverables, and quality.
  • Coordinates evaluation committees, analyzing proposals and assisting in final vendor selection.
  • Maintain a centralized and accurate records, organized system for tracking all contracts, deadlines, amendments, documentation and related correspondence for audit and compliance purposes.
  • Collaborate with legal counsel, procurement officers, and government liaisons to ensure full compliance with public sector protocols.
  • Assist with internal and external audits and reporting related to contract activity and compliance.
Qualifications
  • Bachelor's degree in business administration, procurement, law, public administration or related field.
  • Bilingual: Excellent reading comprehension and writing skills in both English and Spanish (required).
  • Exceptional attention to detail and strong analytical skills.
  • Experience in procurement, contract management, or a related administrative role is required.
  • Prior experience in procurement. contract administration or compliance within the entertainment, government, or facilities management sector is highly desirable.
  • Highly organized, able to manage multiple contracts and timelines simultaneously.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong interpersonal and communication skills to work across departments and with external vendors.
  • Certifications like CPM, or CPSM are a plus.
  • Knowledge of public sector contracting guidelines and submission procedures to the Office of the Comptroller is a plus.
