Job description

We are looking for an experienced Workers' Compensation & Incident Management Specialist to join our team in Raleigh NC.
Position Summary
The Workers' Compensation & Incident Management Specialist supports the administration, coordination, and continuous improvement of the company's workers' compensation and incident management programs across a multi-state operational environment. This role serves as a key liaison between field operations, injured employees, supervisors, third-party administrators, medical providers, and internal leadership to ensure timely claim handling, accurate documentation, effective communication, and process consistency.
This position operates within a fast-paced and evolving environment and requires strong independent judgment, adaptability, investigative thinking, organizational skills, and the ability to manage competing priorities with limited day-to-day oversight.
The ideal candidate is proactive, detail-oriented, comfortable navigating ambiguity, and capable of contributing to ongoing process improvements while maintaining professionalism and confidentiality.
Essential Responsibilities
  • Coordinate and manage workers' compensation claims from initial incident reporting through claim resolution in partnership with third-party administrators and internal stakeholders.
  • Review incident reports and supporting documentation for accuracy, completeness, and timely submission.
  • Serve as a primary point of contact for injured employees, field leadership, medical providers, and claims adjusters.
  • Monitor claim activity, follow-up actions, return-to-work status, and open issues requiring escalation or additional support.
  • Assist in identifying claim trends, reporting gaps, operational concerns, and opportunities for process improvement.
  • Support incident management workflows and help maintain consistency across evolving reporting and claims handling processes.
  • Maintain accurate records and documentation within claims management systems, internal databases, and reporting platforms.
  • Coordinate with Environmental Health & Safety leadership regarding incident investigations, corrective actions, and program initiatives.
  • Assist with reporting, analytics, data tracking, and claim-related administrative functions as needed.
  • Support confidential handling of employee medical and claim information in accordance with company policies and applicable regulations.
  • Contribute to continuous improvement initiatives related to incident reporting, claims administration, communication processes, and operational efficiency.

Qualifications
  • 3+ years of experience in workers' compensation, claims coordination, risk management, HR operations, insurance administration, safety coordination, or related operational support roles preferred.
  • Experience working with claims management systems, third-party administrators, or insurance/risk platforms preferred.
  • Strong organizational, analytical, and follow-through skills.
  • Ability to work independently and adapt within changing operational environments.
  • Strong written and verbal communication skills with the ability to professionally interact across all levels of the organization.
  • Ability to manage sensitive and confidential information with professionalism and discretion.
  • Proficiency in Microsoft Office applications including Excel, Outlook, and Teams.
  • Experience supporting multi-location or multi-state operations preferred.

Preferred Experience
  • Workers' compensation claims administration experience.
  • Familiarity with incident management or safety-related programs.
  • Experience working with Gallagher Bassett or similar TPA systems.
  • Experience supporting process improvement initiatives or operational workflow development.
  • Exposure to distribution, transportation, manufacturing, logistics, or industrial operational environments is a plus.
