Client Services Coordinator

We are searching for an exceptionally detail-oriented and professional Client Services Coordinator who thrives in a fast-paced clinical setting, prioritizes operational process flow, and excels at thorough problem-solving. In this role, you will manage complex patient care workflows while ensuring seamless communication and follow-through across the practice. The ideal candidate genuinely enjoys connecting with people, brings a warm and supportive approach to both our staff and clients, and possesses the critical-thinking skills needed to navigate daily clinic operations smoothly.

About Us

The Affinity Center is an innovative, multidisciplinary treatment center specializing in the evaluation and treatment of ADHD and mood disorders in children and adults.

Applicant Qualifications & Core Competencies

Applicants must demonstrate strong proficiency and competencies in the following areas:

- Exceptional verbal and written communication skills

-Experience navigating Electronic Health Record (EHR) systems

-Advanced technical aptitude with the ability to transition smoothly across diverse software applications

-A deep commitment to delivering excellent client care.

Primary Responsibilities:

  • Client Experience & Front Office: Welcome clients, handle incoming communications and scheduling, maintain clear and timely communication with clinical and medical staff, and provide effective workflow triage and escalation management.
  • Revenue Cycle Support: Process daily client charges, perform daily and weekly account reconciliations, and track outstanding balances to support practice cash flow.
  • Records & Documentation: Process medical record requests, scan/upload clinical documentation to the EHR, and maintain detailed communication logs to ensure continuity of care.

Education & Experience Requirements:

-High school diploma required; college or trade school education highly preferred

-Minimum 5 years of customer service in a professional or therapeutic setting

-Strong proficiency with Microsoft office programs and EHR experience strongly preferred,

-Understanding of HIPAA rules and regulations preferred
