Job Title: Client Operations AnalystFLSA Status: Non-ExemptReports to: Director of Client Operations

About Us: Altair Advisers is an independent wealth advisory firm providing investment management, financial planning and client education services. We counsel a select group of individuals, families, foundations and endowments. As a fiduciary, we serve as an advocate for our clients, providing objective advice and comprehensive guidance across all aspects of our clients’ financial lives.

Position Summary: The Client Operations Analyst is part of the Client Operations team, a group whose purpose is to carry out various investment-related tasks assigned by the firm’s consultants. The Analyst will work primarily with Altair’s consulting team, third-party account custodians, and third-party investment managers. There will also be some interaction with the firm’s clients during the course of completing their responsibilities. Analysts are required to be accountable for their queue of tasks for an assigned set of Altair clients. Some of the more common duties and responsibilities performed by the Client Operations Analyst include:

Responsibilities

  • Implement new client accounts
  1. Prepare all paperwork necessary to specific needs (custodial contracts, manager forms, client information sheets, transfer forms, termination letters for existing managers, cost basis requests and other various authorization letters)
  2. Other new client implementation processes
  3. Facilitate and track account transfers
  4. Monitor transfers of cash/securities to ensure completion
  5. Reconcile assets and cost basis at new custodian/account
  • Manage tasks to effect portfolio reallocations according to instructions provided by consulting staff, including:
  1. Buy or sell Mutual Funds, ETFs, stocks
  2. Raise cash from investment managers
  3. Transfer money among accounts
  • Coordinate with custodial banks and separate account managers to establish client accounts
  1. Review and approve contracts prepared by the Client Operations Associate
  2. Send new client information sheets and any supporting documents to the manager
  3. Monitor and ensure sub-account openings in specific foreign markets for global accounts
  4. Prepare & process updates to client account information
  5. Act as liaison between consultants and custodians/managers
  6. Arrange & facilitate movement of funds between client accounts, money managers and custodians
  7. Request cash disbursements (including wire transfers, journals, moneylinks) and security transfers
  8. Implement trading instructions for ETFs, Mutual Funds and Stocks
  9. Coordinate with investment managers for the availability of cash and securities for transfer
  • Review and approve wire instructions to/from hedge funds and other limited partnerships
  • Facilitation of requests
  1. Willingness and ability to communicate with clients to carry out administrative and routine requests from clients regarding wire transfers, change of address and other matters
  • Account Maintenance
  • Perform updates to account profile information, including addresses, legal titles, authorized signers, trustees, web access, reinvestment options, beneficiaries, etc.
  • Facilitate Interclass Exchanges and Corporate Actions processing
  • Close client accounts
  • Prepare all necessary paperwork
  • Monitory any related transfers and reconcile as needed
  • Monitor account closing process
  • Monitor, track and retain all paperwork as needed
  • Assist in training new members of the team
  • Perform other client portfolio duties and tasks as assigned
  • Independent project work
  1. Participate in projects for the consultant group such as compiling client data into a central database; reviewing documentation for each client to determine if documentation is missing; preparing such documentation as necessary to form a complete permanent record
  2. To improve various processes as deemed necessary by Client Operations Team & Client Operations Manager

Qualifications

  • Bachelor’s degree preferred but not required
  • 3+ years of experience in the financial or professional services industry
    • Preferably in an operational or service capacity at a RIA, family office, investment manager or brokerage firm
  • Prior experience working with an investment custodian, broker/dealer, or investment manager
  • Proficiency with Microsoft Office; Outlook, Word, Excel, Adobe Reader and SharePoint
  • Excellent communication and organizational skills needed to carry-out instructions which may change after submission
  • Meticulous attention to detail
  • Analytical and problem-solving skills
  • Strong interpersonal and verbal communications skills to keep team members informed of progress and overall workload
  • Ability to work in both an independent and a team environment to ensure adequate coverage
  • Candidate must be prepared, willing and able to:
  • Prioritize workload so as to meet critical same-day deadlines
  • Accountability, organization and time-management skills are a must
  • Manage competing deadlines for different Altair clients at the same time
  • Manage increased volumes at the end of each year, as well as during global portfolio rebalancing
