Position Summary
HB is seeking a Client Onboarding Associate. In this role, you will serve as a process owner and primary liaison for the new client onboarding experience, partnering closely with Advisory teams, Operations, Compliance, and custodians to ensure a seamless and timely transition for new clients.
Key Responsibilities
  • Act as the project manager for all operational and administrative aspects of the client onboarding process, including engagement documents, account opening, portfolio setup, and recurring process tracking.
  • Clearly communicate onboarding timelines and expectations, and proactively follow up with Advisors, Compliance, Operations, and custodians to ensure onboarding stays on track.
  • Prepare and process custodian paperwork such as account opening, letters of authorization and other operational documents, guiding them through review and approval workflows.
  • Coordinate with internal teams, custodians, and clients to ensure a timely and efficient transition; independently research and resolve onboarding-related issues.
  • Serve as a subject-matter resource for onboarding procedures, systems, and guidelines.
  • Communicate business needs clearly to internal and external stakeholders and assist in driving requests through various workflows and systems.
  • Update and verify client, account, and transaction details; maintain accurate records within CRM and document management systems.
  • Ensure compliance with firm operating, cybersecurity, risk, and regulatory policies while safeguarding client information.
  • Seek to understand the needs of our clients, provide superior services to meet those needs and to earn their trust, respect, and confidence.
  • Support the onboarding team with special projects and initiatives as needed.
  • Commitment to meeting established deadlines and managing time effectively.

Requirements
  • 1-3 years of experience in a client service or onboarding role within the financial services industry.
  • Familiarity with custodians such as Charles Schwab, Fidelity, and Pershing.
  • Strong project management, organizational, and time-management skills.
  • Self-starter with initiative, confidence and exceptional attention to detail who can balance multiple projects and demands in a fast-paced, dynamic, and entrepreneurial environment.
  • Exceptional written and verbal communication skills.
  • Positive attitude and strong work ethic.
  • High level of professionalism, confidentiality, and fiduciary mindset.
  • Strong interpersonal skills with the ability to partner effectively in a team and earn the trust and confidence of colleagues.
  • Willingness to "pitch in" when necessary.
  • Strong analytical and problem-solving skills.
  • Proficiency with Microsoft Office Suite, CRM systems, and portfolio reporting software.
  • Associate degree or equivalent client service experience; bachelor's degree preferred.
  • Ability to successfully pass criminal background / credit check required.
