Church Administrator — 32 Hours/Week

St. Luke’s Lutheran Church

St. Luke’s Lutheran Church is seeking a warm, organized, detail-oriented Church Administrator to support the mission and daily ministry of our congregation. This position is central to the life of the church, providing administrative support, hospitality, communication, calendar coordination, worship preparation, facility support, and ministry assistance.

St. Luke’s is an LGBTQ+ welcoming and affirming ELCA Lutheran congregation. We are looking for a candidate who is comfortable supporting and working within a welcoming, inclusive church environment.

Position Details

Part-time: 32 hours per week

Reports to: Pastor / Head of Staff

Pay: Commensurate with experience

Review: Initial 90-day review, followed by annual reviews

Hospitality and Office Support

  • Serve as the church office receptionist and welcome visitors with kindness and professionalism
  • Receive, respond to, and route phone calls, emails, mail, deliveries, and general inquiries
  • Maintain a welcoming and organized church office environment
  • Maintain confidentiality in all pastoral, member, and church matters

Administrative and Communication Support

  • Compile weekly announcements and prepare/send the weekly email newsletter, The Weekly Word
  • Prepare and send special church email announcements and mailings
  • Maintain the church calendar
  • Prepare weekly worship bulletins, leader guides, hymn reporting, and worship materials for livestream and in-person worship
  • Maintain membership records, mailing lists, church files, and directory information
  • Assist with onboarding new members, including contact information, name tags, and next steps
  • Prepare special documents such as the annual report and church directory
  • Operate and maintain office equipment, including copier/printer
  • Purchase office and building supplies and track receipts/reimbursements
  • Assist with background checks and Ministry Safe training records for volunteers

Technology, Media, and Publicity

  • Make minor website updates
  • Upload worship videos to YouTube
  • Create simple graphics and publicity materials using Canva
  • Support Facebook, Instagram, YouTube, website, and other communication needs
  • Work with volunteers and staff who assist with church communications

Facilities and Building Support

  • Manage building rental requests, contracts, key distribution, and fee payment
  • Schedule building repair and maintenance appointments
  • Maintain a list of trusted vendors and facility contacts

Ministry Support

  • Support the pastor, staff, church leaders, and volunteers with administrative, communication, purchasing, and ministry needs
  • Assist the pastor with the Pastor’s Discretionary Fund
  • Help anticipate needs for events such as funerals, new member gatherings, worship services, and special ministries

Skills and Qualifications

  • Strong computer skills, including Microsoft Word, Excel, Outlook, Publisher, Google Drive, Google Sheets, and Google Calendar
  • Experience with Mailchimp or similar email newsletter platforms
  • Strong written and verbal communication skills
  • Highly organized and detail-oriented
  • Able to manage several ongoing projects at once
  • Professional, dependable, and able to work with a wide variety of people
  • Able to maintain confidentiality
  • Comfortable learning and using church-related software, online platforms, and office systems
  • Social media, Canva, YouTube, and basic website experience preferred
  • QuickBooks or financial administration experience preferred
  • Familiarity with liturgical worship is a plus, but not required

Required Meetings

  • Attend bimonthly staff meetings
