Job Description: Member Services Specialist II (Part-Time)


Role Overview

The Part-Time Member Services Specialist serves as a vital caretaker of our members' information. This role focuses on the tactical maintenance of our Pushpay Church Management Software (ChMS) to ensure our staff can rely on accurate data for daily ministry needs and members can easily access their current involvement with Calvary. The Member Services Specialist reports directly to the Member Services Director.


Key Responsibilities

  • Data Auditing: Perform weekly database audits within Pushpay to merge duplicate profiles, verify contact information, and ensure high accuracy for all data inputs.
  • Events, Forms, & Calendar Management: Design and manage digital forms for event registrations and volunteer applications; maintain the master church calendar by updating ministry events and auditing departments to ensure expired events are removed and current ones are properly set up for check-in systems.
  • Group Management: Oversee the structural organization of church groups, rosters, and serving teams within Pushpay, ensuring group leaders are assigned correctly, and member enrollments stay up to date.
  • Administrative Support & Mail Merges: Assist ministry leads by executing custom database searches, generating Excel reports for specific outreach initiatives, and executing digital mail merges for mass church communications.
  • User Support: Act as an internal point of contact for staff and members encountering "how-to" issues with basic Pushpay functions during scheduled shifts.

Qualifications & Skills

  • Character & Discretion: Possess a personal character that consistently displays integrity, sound judgment, and the absolute discretion required to handle sensitive, confidential member records.
  • Teamwork & Collaboration: Proven ability to work well with others, communicate across different departments, and collaborate effectively as an encouraging team member.
  • Teachable Spirit: A strong willingness to learn, receive feedback, and maintain a teachable spirit as systems, processes, and software features evolve.
  • Detail-Oriented & Problem-Solving: Exceptional accuracy in data entry with a strong eye for observing errors, combined with the critical thinking and perseverance needed to investigate and resolve data discrepancies independently.
  • Technical Skills: Prior experience navigating Pushpay ChMS (or a similar church database) is highly preferred; however, comprehensive platform training will be provided for the right candidate.
  • Software Proficiency: Proficiency with Microsoft Excel (sorting, filtering, basics), Word, and aptitude to learn various internal software used for compliance.
  • Experience: 1–2+ years of experience in data entry, administrative support, and/or database management.

Spiritual Qualifications

  • Understanding of the Christian faith and its doctrines.
  • Follow Matthew 18 principles in workplace issues with fellow staff.
  • Practice Spiritual Disciplines for personal spiritual growth.
  • Attend weekly Chapel and staff meetings as scheduled during working hours.
  • Complete staff trainings and compliance as required.
