Job description

Position Summary
The Comm Operations Support (COS) role serves as a key integrator between communications projects and systems management at Heights Church. This position supports ministry teams by ensuring communication initiatives are effectively executed through well-managed systems, streamlined processes, and consistent design support.
Working closely with the Communications Director and Project Coordinator, the COS leads the implementation, maintenance, and optimization of church management systems while contributing to ministry-facing communication efforts. With a high degree of independence, this role ensures that systems, tools, and processes align with the mission, values, and evolving needs of Heights Church.
Schedule & Reporting
COS works Weekdays, Weekends and Holidays, as needed
COS reports to the Communications Pastor
Communications
  • Contribute to the development of ministry-wide projects, ensuring alignment between creative deliverables and system processes
  • Review and refine language and workflows for registrations, forms, and events across the website, Heights App, and Church Center to maintain consistency
  • Equip ministry teams with communication standards and best practices

System Management
  • Lead the implementation, maintenance, and daily operation of church management systems used by Heights Church
  • Align system functionality to support ministry communication goals and ensure smooth project delivery
  • Manage user access and permissions while maintaining strict confidentiality of sensitive member information
  • Troubleshoot and resolve system-related issues that broadly impact the organization
  • Design, test, and maintain forms, registrations, event workflows, and other PCO components
  • Build and optimize system structures and processes to meet evolving ministry and communication needs
  • Train staff and serve teams on system best practices to ensure effective and consistent use
  • Maintain high standards of data integrity, security, and compliance with organizational and legal requirements

Ministry Support
  • Build and maintain strong communication with ministry teams to support effective execution of programs and events
  • Design and manage multi-location system functionality to meet evolving ministry needs
  • Implement and evaluate new system features, adapting configurations as church and ministry needs grow
  • Partner with ministry teams on complex processes, initial setup, and new system initiatives

Systems Training
  • Lead training for staff and serve teams across core systems (Slack, PCO, TXT, O365)
  • Champion effective use of technology tools to increase efficiency and support ministry engagement
  • Equip staff and leaders to leverage systems in ways that create more space for personal and relational ministry

Systems Support
  • Maintain and improve system support resources, including up-to-date procedures and guides
  • Enable ministry leaders to confidently troubleshoot and manage their system responsibilities

Design Support
  • Provide design support to ministry teams by adapting existing assets and creating new designs within established visual standards
  • Work with Project Manager to maintain timelines for communication strategies and deliverables

Creativity
  • Proactively grow in creative disciplines that inform and elevate the effectiveness of
    communication systems and ministry goals

Qualifications and Skills Experience
  • Leadership Driven Ownership- leading or coordinating the work of others (formal team leadership experience preferred).
  • Portfolio showcasing experience with Adobe Creative Suite (Illustrator, Photoshop)
  • Immediate knowledge of Microsoft Office Suite (Word, Excel, Outlook),
  • Experience with Church Center (PCO), and other church management software.
  • Detail-obsessed executor - Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities simultaneously.
  • Design-driven- Organizes tasks, timelines, and communication to help projects move forward with clarity, consistency, and follow-through.
  • Relentless simplification- you cut out the excess, fight for clarity within systems and workflows to support ministry and team needs.
  • High agency - you don't wait for permission to solve problems or wait to take action to keep projects moving forward with minimal direction.

Additional Requirements
  • Availability to work our office schedule (Mon-Fri) with occasional at-home schedule managed through direct report.

  • Flexibility to support occasional evening or weekend ministry events and holidays as needed or required.
