Job description

Purpose of Classification: 

The purpose of this classification is to document, support, and track Head Start and Early Head Start program activities within Step Forward’s ChildPlus system. The position is responsible for accurate and timely data collection from multiple program entry points, ensuring data integrity, regulatory compliance, and reliable reporting. This role supports program operations, monitoring, and continuous quality improvement by maintaining complete, consistent, and auditable records of services provided to children and families. 

Essential Functions:

The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned. 

Ensure all Step Forward Head Start and Early Head Start staff are accurately entered and maintained in the ChildPlus system, including timely updates to employment status, assignments, and credentials.

Ensure all Collaborative Partner staff are entered into ChildPlus and records are kept current in accordance with program agreements, monitoring requirements, and reporting timelines.

Maintain accurate Child Development Associate (CDA), credential, and licensing information in ChildPlus, including tracking expiration and renewal due dates and updating records upon receipt of documentation.

Collect, review, validate, and accurately enter CLASS observation score sheets into ChildPlus, ensuring completeness and correction of errors prior to final data entry.

Enter Kindergarten Transition Summary data into ChildPlus for all children transitioning to kindergarten, ensuring compliance with Head Start transition requirements.

Prepare sign-in sheets and accurately record staff attendance for Staff Orientation and Development (SOD) sessions in the Professional Development module of ChildPlus.

Provide required Program Information Report (PIR) data for all Collaborative Partners, ensuring accuracy, completeness, and adherence to federal reporting deadlines.

Maintain and update CDA tracking lists for each Director of Program (DOP) based on submitted and verified documentation.

Provide data and system support to Family Support Workers (FSWs) and Early Childhood Education (ECE) teaching staff as required under the ECE grant and related program initiatives.

Maintain and track attendance records associated with the ECE grant to support grant compliance, reporting, and monitoring activities.

Distribute updated staffing and teacher assignment information to internal departments requiring current data for operational, compliance, and reporting purposes.

Identify, correct, and resolve data discrepancies within ChildPlus to ensure records are accurate, complete, and audit-ready.

Collaborate with program leadership, Site Administrators, and partner agencies to support timely, accurate, and consistent data collection across multiple entry points into ChildPlus.

Additional Functions:

Provides technical assistance and follow-up support related to ongoing monitoring activities for classrooms to ensure compliance with all applicable local, state, and federal regulations.

Participates in the development, implementation, and tracking of corrective action plans in response to internal and external monitoring reviews.

Attend Policy Council meetings.

Support the implementation of family engagement strategies across program components.

Attends and participates in a variety of meetings, conferences, trainings, and workshops for professional development and to obtain best practices for improving knowledge, skills and abilities.

Represent Step Forward at events, conferences, and other forums to promote its work and build relationships with key influencers.

Performs other related duties as required.   

Minimum Qualifications: 

Bachelor’s degree in Human Resources, Education, Early Childhood Education, Social Work, Public Administration, Data Management, or a related field required. Associate degree in a related field with equivalent combination of education and directly related experience may be considered in lieu of a bachelor’s degree. Knowledge of Head Start Program Performance Standards (HSPPS), early childhood program operations, and regulatory compliance strongly preferred. Minimum of two (2) years of experience supporting Head Start, Early Head Start, early childhood education, human services, or nonprofit programs, with responsibility for data entry, records management, compliance, or monitoring activities.
