Description

The role of the Associate Project Manager supports the Senior Project Manager and Design Director by coordinating the efforts of team members in order to deliver projects according to plan and budget. As an integral part of the team, the Associate Project Manager must have project management skills and experience and work behind the scenes to ensure the essential functions of the project are executed. The Associate Project Manager reports to the VP of Implementation.   


Essential Functions: 

  • Provides support to the Senior Project Manager and Design Director 
  • Strategically consults and adds value to internal project team  
  • Meetings: Schedules meetings and/or presentations (internal/external) including meeting documentation, follow up of DRIs; Coordinate & facilitate POD Team Meetings; Coordination of travel for project team; Coordination of special design events which could include: hosting of charrettes, site visits, prototype presentations, etc. 
  • Monitor project deliverables and milestones with the internal team including but not limited to: Presentations, Integration Documents, Client Feedback markups and documentation, Content Assimilation, Master Plan and FADE consistency, Interior finish selections, Site Survey and Installation: Checklists or supporting forms and scheduling, Production Documents, Digital Experience Team milestones  
  • Presentations: Build and organize presentations for delivery in conjunction with Design Director 
  • Project Schedules: Develop and maintain project schedule utilizing Project Management software (Merlin, ProCore) in conjunction with Project Team 
  • Budget: Assist Senior Project Manager with management of project margin by tracking expenses and internal resource utilization through weekly and monthly reporting and Margin Assessment Tools; Provide updates or alerts to Project Leadership as needed 
  • Resource Management: Assist Senior Project Manager with internal management of design, story, fabrication and installation resources based on project schedule, scope, and budget 
  • Financial Support: Development and monitor client invoices on monthly basis as determined by project contract; input of change orders into ProCore; overall tracking and monitoring of invoice submission and supporting documentation required by contract 
  • Project Tracker: Ensure all team members are completing Project Tracker accurately and in a timely manner  
  • File management: Responsible for ensuring project documents are archived in the correct location within Advent standard operating procedures including but not limited to file server, Procore, Google Drive, etc 
  • Responsible for individual monthly expense reporting 
  • Perform other duties as assigned   


Required Qualifications: 

  • A bachelor's degree in Interior Design  
  • 3+ years experience in project management or administration services 
  • Strong familiarity with the following software: Google Suite, Adobe Creative Suite, SalesForce, relevant Project Management Software and Mac platform
  • Experience with InDesign or basic graphic design experience preferred  
  • The ability to travel required

  • Detailed oriented, highly organized with a focus on time and task management

  • Ability to manage multiple projects simultaneously, ability to multitask and prioritize as needed 
  • Ability to work effectively and efficiently toward goals in a complex, diverse environment with multiple changing demands 
  • Interior design background (sourcing/procurement) 
  • Ability to demonstrate the embodiment of Advent Mantras and Values 


Working Environment/Physical Demands: 

  • Reaching, standing, walking, lifting, fingering, grasping, talking, hearing and repetitive motion. 
  • Primarily office-based work - Exerting up to 10 pounds of force occasionally, sits most of the time. 
  • Close visual acuity to perform activities at distances close to the eye 
  • Subject to activities that occur inside and outside, heat, and noise. 
  • When working in the office, not substantially exposed to adverse environmental conditions.
