Job description

Under the direction of the Director of Support Services, the Program Coordinator plays a key role in supporting the effective operation of the Support Services Department. This position works closely with the Director to coordinate and track department-wide activities, manage internal communications, and ensure the timely completion of program deliverables and administrative tasks. The Program Coordinator also provides direct support to Program Managers overseeing Domestic Violence Services, Re-Entry, and Homeless Services Programs, and other programs as they may develop. Key responsibilities include assisting with scheduling and meeting coordination, maintaining documentation and tracking systems, supporting grant and contract compliance, and helping monitor progress toward program goals. The Program Coordinator serves as a central point of coordination to ensure that the Director and Program Managers have the information and tools needed to implement high-quality, patient-centered services.The Program Coordinator contributes to the overall administration and effectiveness of Support Services and ensures alignment with St. John’s Community Health’s mission, vision, core values, and strategic plan.

QUALIFICATIONS

Education & Experience

  • Associate’s or Bachelor’s degree in public health, social work, human services, or a related field preferred; equivalent work experience will be considered.
  • Minimum 2 years of experience in program coordination, administrative support, or related roles in a nonprofit or community health setting.
  • Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills; ability to communicate effectively with diverse staff, community partners, and patients.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams); experience with data tracking and reporting tools preferred.
  • Knowledge of or willingness to learn about social determinants of health, trauma-informed care, and services for vulnerable populations.
  • High attention to detail, especially in documentation, reporting, and file organization.
  • Ability to work independently and collaboratively in a team-oriented, fast-paced environment.
  • Demonstrated cultural humility and sensitivity when working with diverse populations.
  • Flexibility, adaptability, and a proactive approach to problem-solving.
  • Understanding of confidentiality and compliance requirements in community health and human services programs.
  • Experience supporting audits or compliance reviews is a plus.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Work closely with the Director of Support Services to support department-wide coordination, planning, and implementation.
  • Collaborate with Program Managers to review and track work plans to ensure contract and grant deliverables are met.
  • Assist Program Managers in the day-to-day operations of Domestic Violence Services, Re-Entry, and Homeless Services programs.
  • Coordinate and support scheduling, meeting logistics, agenda development, and note-taking for internal and external meetings.
  • Support administrative needs, including marketing coordination, purchasing, requisitions, and budget assistance.
  • Maintain organized program files, records, and documentation to ensure compliance with funder and organizational standards.
  • Prepare and assist in the submission of required weekly, monthly, and quarterly reports, including data tracking and formatting.
  • Maintain and manage program activity calendars, including outreach efforts, meetings, and deadlines.
  • Participate in and provide coordination support for outreach activities, events, and resource fairs.
  • Attend community meetings, trainings, and partner convenings as assigned to support program visibility and resource sharing.
  • Foster collaborative working relationships with internal departments and external partners.
  • Communicate regularly with program team members and leadership to ensure smooth operations and information flow.
  • Assist with internal and external audits by collecting, organizing, and submitting required program documentation.
  • Support compliance efforts by reviewing and organizing program charts and documentation to ensure readiness for audits and monitoring visits.
  • Demonstrate awareness of and sensitivity to the cultural and ethnic diversity of the communities served by St. John’s Community Health.
  • Adapt to shifting priorities in a fast-paced, evolving environment with a proactive and flexible approach.
  • Manage multiple administrative tasks simultaneously, maintaining accuracy and attention to detail, especially in budgeting and reporting.
  • Other duties may be assigned or modified as program and organizational needs evolve.
