Job description
The Office of Chief Medical Examiner investigates cases of persons who die within New York City from criminal violence, by accident, by suicide, suddenly when in apparent health, when unattended by a physician, in a correctional facility or in any suspicious or unusual manner or where an application is made pursuant to law for a permit to cremate a body of a person.

JOB DESCRIPTION
The New York City Office of Chief Medical Examiner (OCME) seeks a Graduate Medical Education Program Specialist to support the administration, accreditation and coordination of the agency's graduate medical education fellowship programs, including its ACGME accredited Forensic Pathology and Selective Pathology fellowship programs in Forensic Neuropathology and Cardiovascular Pathology. This is a per-diem position with an anticipated average commitment of approximately 20 hours per week.
OCME's fellowship programs provide advanced subspecialty training to physicians pursuing careers in forensic medicine. The Graduate Medical Education Program Specialist will provide dedicated administrative and accreditation support across OCME's fellowship programs, with a particular focus on maintaining compliance with Accreditation Council for Graduate Medical Education (ACGME) requirements and supporting the continued development of OCME's graduate medical education programs.
The Graduate Medical Education Program Specialist will report directly to OCME's Designated Institutional Official (DIO) and receive programmatic direction from the Associate Program Directors. The position will work closely with the Associate Program Directors, Program Coordinator, fellows, faculty and other OCME staff to support program administration and ensure accreditation requirements, documentation and deadlines are effectively managed. Work hours will vary throughout the academic year based on program activities, accreditation requirements, recruitment cycles, meetings and other fellowship needs. The successful candidate should be highly organized and detail oriented, with strong communication skills and the ability to manage multiple priorities and deadlines in a complex academic and operational environment.
Key responsibilities include, but are not limited to:
- Support the administration and coordination of OCME's accredited fellowship programs, with a particular focus on ACGME accreditation, compliance and institutional requirements.
- Maintain a working knowledge of applicable ACGME Institutional Requirements, Common Program Requirements and specialty specific requirements, and monitor accreditation requirements, reporting obligations and deadlines.
- Maintain and manage required program and institutional information within the ACGME Accreditation Data System (ADS), including annual updates, surveys and other required submissions.
- Coordinate preparation for ACGME accreditation site visits, inspections and reviews, including assembling required documentation, coordinating logistics and preparing program leadership, faculty, fellows and staff.
- Provide administrative support for OCME's Graduate Medical Education Committee (GMEC), including scheduling meetings, preparing agendas and supporting materials, taking and maintaining meeting minutes, maintaining required documentation and tracking action items.
- Support the DIO and Associate Program Directors in fulfilling institutional and program specific ACGME requirements, including annual program evaluations, Clinical Competency Committees, Program Evaluation Committees and other required activities.
- Coordinate and maintain fellow and faculty evaluations and track fellow educational activities, milestones, procedures, scholarly activities and other information required for accreditation and board certification.
- Support fellow recruitment, application, interview, selection, onboarding and offboarding processes, as well as administrative requirements related to credentialing, licensure and training.
- Coordinate educational and program activities, including didactic sessions, conferences, lectures, orientations and other fellowship activities, and maintain applicable program policies, agreements, affiliation documents and records.
- Work closely with the Program Coordinator and maintain effective communication with the DIO, Associate Program Directors, fellows, faculty, affiliated institutions and other stakeholders to support effective fellowship operations.
- Provide administrative support for faculty appointment and promotion processes, including coordinating required documentation, tracking submissions and maintaining applicable records.
- Support the rotations of visiting medical students, residents and other trainees at OCME, including scheduling, coordination, required documentation, institutional payments and related administrative processing.
- Assist with fellow scheduling and timekeeping, including the preparation and maintenance of schedules.
- Coordinate and support employee performance evaluations, including tracking completion and maintaining required documentation.
- Perform other duties as assigned.
