Job description

Compensation Type: SalariedCompensation: $54,722.20The Program Coordinator, Stewardship & Alumni Engagement is responsible for the planning and execution of donor stewardship and alumni engagement activities that support the Advancement Team's fundraising and relationship-building goals. Reporting to the Assistant Director, this position ensures consistent, meaningful, and high-quality engagement with donors and alumni across all touchpoints. This role coordinates and supports the implementation of stewardship processes, including acknowledgement, recognition, and reporting. The Program Coordinator works collaboratively across communications, events, and data functions to ensure that donor and alumni experiences are coordinated, personalized, and aligned with organizational priorities.

Alumni Engagement & Donor Experience Coordination

  • Supports the planning and execution of alumni engagement strategies and initiatives. Coordinates alumni communications and outreach in collaboration with the communications team and partners across the College. Assists in developing programs and activities that strengthen alumni connection to the institution. Maintains awareness of alumni engagement opportunities to support relationship-building.
  • Supports accurate tracking of donor and alumni interactions within CRM and other data systems (e.g., Raiser's Edge). Coordinates with the Data Specialist to ensure data integrity and proper coding of activities. Assists in compiling reports and summaries of engagement and stewardship efforts. Uses available data to inform outreach and engagement activities.
  • Ensures a high-quality, consistent experience for donors and alumni across all interactions. Organizes follow-up activities related to events, campaigns, and engagement initiatives. Supports development of engagement plans that enhance long-term relationships. Identifies opportunities to improve donor and alumni engagement processes.

Donor Stewardship Execution

  • Coordinates day-to-day donor stewardship activities, including oversight of acknowledgement function, recognition management, and fund reporting. Ensures timely, accurate, and personalized donor communications. Organizes donor impact reporting and supports development of stewardship materials. Maintains and implements consistent stewardship processes and standards.

Collaboration & Partnerships

  • Works closely with the communications Coordinator to support messaging and outreach efforts. Partners with the Event Manager to coordinate guest engagement and post-event follow-up. Collaborates with the Data Specialist to ensure accurate tracking of donor and alumni activity, as well as acknowledgements. Aligns stewardship and engagement activities with broader campaigns and organizational priorities.
  • Works closely with the Assistant Director to align activities with team priorities and strategies. Supports a collaborative team environment across communications, events, and data functions. Engages with internal partners to ensure coordinated and effective engagement efforts. Contributes to a team culture focused on service, responsiveness, and relationship-building.

Operational Support & Continuous Improvement

  • Assists with coordination of materials, timelines, and logistics related to stewardship and engagement. Supports preparation of communications, reports, and recognition materials. Provides administrative and coordination support for stewardship-related initiatives. Ensures timely completion of assigned tasks and deliverables.
  • Helps develop and maintain standardized processes for stewardship and alumni engagement. Identifies opportunities to improve efficiency and effectiveness of workflows. Supports documentation of procedures and best practices. Contributes to ongoing refinement of donor and alumni engagement strategies.

Minimum Qualifications

  • Associate's degree in a related field.
  • Two (2) years of experience in a related field.
