Job description

Job Title: Patient Access Supervisor Department: Registration

Reports to: Manager of Patient Access Revision Date: 9/16/2023

Grade Level: 22 Status: Non-exempt

Job Summary:

The Patient Access Supervisor assists the Manager of Patient Access in coordinating and managing Patient Access (admissions, registration, and switchboard services). Leads and directs operations of the Patient Access staff to achieve high levels of customer service, meet financial objectives, and support Oswego Health’s organizational goals. Promotes growth in staff performance with the implementation of appropriate processes and procedures, collaborative and constructive communication, and assisting in continuing education. Functions also include acquiring accurate patient information related to admissions requirements, financial responsibility, and authorizations. Communicates collaboratively with Managed Care Organizations on access issues and in accordance with overall goals and objectives of the Finance Division.

Duties/Responsibilities:

  • Supervise staff in the daily operations of Patient Access; answer any questions or concerns and promptly resolve problems as needed, consulting with Manager of Patient Access as necessary.
  • Prepare all staff schedules including new staff orientation and training schedules. Utilize cost effective staffing to meet customer requirements.
  • Provide relief for staff when required or perform other job functions as assigned by the manager or as required to meet customer expectations and proper patient flow.
  • Represent manager or director in problem resolution if neither is available.
  • Supervise and lead team projects or initiatives; provide support by encouraging collaboration between team members.
  • Foster interdisciplinary collaborative relationships within area of responsibility.
  • Coordinate all time off requests and assist with monitoring Kronos for accuracy of punches and schedules.
  • Coordinate interviewing potential new employees, evaluations of current staff including 90-day evaluations and yearly evaluations.
  • Develop QA for staff productivity reports to ensure accurate data collection and educate staff.
  • Continually educate staff on new procedures and information that is needed to perform their duties, including additional education time if needed.
  • Review staff work on a monthly basis and prepare CQI reports to promote the improvement in the Patient Access Department.
  • Provide periodic assessments of staff’s developmental needs; provide and encourage opportunities for development.
  • Manage and order departmental supplies in compliance with budgetary constraints.
  • Develop new processes within Patient Access to help in the efficiency and productivity of the department.
  • Analyze and communicate relevant data for staff and management; develop and communicate policies, procedures, and other business documentation. Conduct special studies and prepare management reports, including key performance indicators as they relate to the finance (waiting/service times, staff productivity, accuracy, customer feedback, etc.)
  • Provide timely, professional follow-up to customer complaints; proactively resolve issues.
  • Coordinate the flow of information between various departments including medical imaging, billing, medical records, case management, coding, and lab.
  • Maintain current knowledge of third party billing and payment policies, procedures, and benefits to assist Patient Access staff. This will include attendance at seminars/conferences to obtain current information and changes.
  • Assist the manager of Patient Access in ensuring that staff is following all administrative and departmental policies and procedures.
  • Perform other duties as assigned.

Required Skills/Abilities (Unit Specific):

  • Knowledge of medical terminology and/or 3rd party Insurance process preferred.

Education and Experience:

  • Two year college degree in related field required; equivalent combination of education and experience will be considered.
  • Experience in PC/CRT data entry preferred.
  • 1 year experience in a medical office setting preferred.

Working Conditions:

  • Position is subject to irregular working hours; must be able to work alternate weekends and holidays with rotating shifts.
  • Requires attendance of committees and meetings as required by the Manager/Director.
  • Requires working as needed at any of the Patient Access registration and scheduling locations.
  • Requires extended periods of sitting and using computers.
  • Ability to perform light lifting (up to 15 pounds) using proper body mechanics.
  • Occasionally requires assembling, using, checking and maintaining equipment.
  • Actively participates in cross-training, Quality Assessment programs, CQI, in-service programs, and mandatory classes; completes department specific requirements/competencies. Accepts assignments to other departments as assigned.
  • Complies with DOH requirements for annual health assessments and required immunization

Pay Range; $24.00-$26.00/hr

Employee salary is based on commensurate experience and other qualifications.
