Job description

JOB DESCRIPTION: Event Manager

Position Type: Part Time Hourly (up to 20 hours weekly)

Department: Operations

Reports to:
Executive Director and Supervising Producer

Start Date: May 24, 2026


General Expectations: This is a part-time position, designated at up to 20 hours per week with flexible scheduling. The role is primarily remote, with occasional in-person meetings or events as needed. Work hours will be coordinated with the Operations team and direct supervisor to support organizational needs. Any hours beyond 20 per week must be pre-approved by the Executive Director and will be compensated in accordance with applicable wage and hour laws. We recognize that employees may hold additional professional commitments; any potential conflicts of interest should be communicated to the supervisor as early as possible.

Compensation:
$30.00/hr

Benefits: This is a part-time position during Outfest's reconstruction phase. As such, no traditional benefits (such as health insurance or paid time off) are currently offered.


Roles and Responsibilities

Position Summary: The Events Manager for Outfest is a key role responsible for managing the execution of critical event elements in collaboration with the Event Producer. Acting as a vital link between internal core teams, key collaborators, vendors, and event execution, the Events Manager ensures that Outfest events are organized and delivered to the highest standard- balancing logistical needs, creative vision, and guest experience. This position is remote-hybrid, requiring in-person attendance during event dates and occasional meetings as needed.

The Events Manager will focus on crafting welcoming and engaging experiences for all participants. Success in this role will be measured through guest satisfaction metrics and adherence to budgets and timelines. The ideal candidate will possess excellent communication skills, adaptability in a fast-paced environment, and a proactive approach to problem-solving.


Key Responsibilities

Event Management & Collaboration

  • Serve as the primary manager between the Outfest team and Event Producer on event logistics and execution.
  • In collaboration with the Event Producer, transform program goals and departmental needs into effective event plans for staff, vendors, and contractors.
  • Ensure alignment across departments on Outfest objectives, timelines, and deliverables.

Logistics & Execution

  • Oversee day-of event execution, including vendor management, production timelines, and event flow.
  • Ensure that staging, decor, AV/technical needs, and hospitality are provided to Outfest standards.
  • Proactively identify and resolve issues during events to ensure seamless operations.
  • Obtain necessary certificates of insurance (COIs) and permits required for event execution.

Team Leadership & Support

  • Supervise and assist event staff, volunteers, and contractors to ensure successful event outcomes.
  • Collaborate with the Event Producer on training and briefing sessions for event teams.
  • Work with the Programming, Development, and Communications departments to ensure events are consistent, accessible, and guest-focused.

Administration & Evaluation

  • Monitor key event deliverables and budgets, providing updates to festival leadership.
  • Provide detailed reports on event expenses and ensure that all financial documentation is accurate and up to date.
  • Compile a post-event report with insights and recommendations for enhancements for future editions of Outfest events.

Qualifications

  • 3+ years of experience in event management, including producing or supervising live events, festivals, or large-scale productions.
  • Excellent leadership and communication skills, with the ability to act as a liaison across departments.
  • Proven skills in vendor coordination, event logistics, and on-site troubleshooting.
  • Familiarity with AV, staging, and overall event production processes.
  • Highly organized, detail-oriented, and capable of managing multiple priorities under tight deadlines.
