This role is hybrid - in-office with 20% flexibility to work from home.

As a member of the Corporate Communications & Events Team, reporting to the Manager, Events & Office Services (Events Manager), the Events & Communications Coordinator will support with the planning and execution of internal and external events, employee engagement initiatives and community investment activation. Additionally, this role collaborates with the Senior Manager, Corporate Communications to assist in executing communications tied to events and engagement initiatives and general communications support, as needed.

This role serves as a key liaison between the Corporate Communication & Events team and the broader business and the person in this role embraces the highest standard of effective collaboration, organization and stakeholder engagement. This dynamic role requires ownership and accountability to drive desired outcomes, while balancing multiple time-sensitive projects on an on-going basis. Strong interpersonal and communications skills are also essential to the success of this role.

Responsibilities

Event Coordination

  • Support end-to-end delivery of corporate events, including ONWARD, townhalls, leadership sessions, and employee engagement initiatives.
  • Develop event plans and budgets with a complete understanding of the requirements to ensure success, in collaboration with the Event Manager.
  • Research vendors and make selections based on creativity, quality, and cost.
  • Book venues, schedule guests, and coordinate day-of logistics and always maintain a strong working relationship with vendors.
  • Support with event administration, including speaker engagement, order placements, BEO reviews, vendor management, travel planning, restaurant reservations, attendee. participation, registration, RSVP tracking, and coordination across internal teams.
  • Attend events, as needed, to support with the execution of all day-of logistics, from set to strike.
  • Update Shared Events calendar and create awareness to promote internally and externally of events with the Business Units
  • Consistent progress updates, including pre- and post-event reporting and evaluations to stakeholders in collaboration with the Events Manager.
  • Support the Company's community engagement and investment initiatives, in collaboration with the Events Manager.

Communications

  • Develop and manage distribution and creation of invites for internal and external events including copy and images for emails and calendar holds.
  • Support with drafting scripts, show flows and other event communication materials.
  • Serve as back-up internal communication support on internal email system in collaboration with Communications Specialist, Internal and Senior Manager, Corporate Communications.
  • Provide general administration support to the Corporate Communications & Events Team.
  • Other duties, as assigned.

ย Qualifications

  • Post-secondary education in Events, Marketing, Communications or a related field
  • Minimum one to three years experience with integrated events and communications
  • Exceptional time management skills
  • Strong organizational and project management skills, with attention to detail
  • Must be very organized and able to prioritize tasks in a fast-paced environment
  • Exceptional communication skills (written and verbal)
  • Thrives in a changing environment
  • Experience with logistical coordination of events, meetings and conferences
  • Experience with Microsoft Suite and Canva considered an asset
  • Proven ability to manage and control project budgets, with excellent attention to detail
