Position Overview

The Sales & Events Administrative Assistant must be a highly motivated individual who is eager and ready to accept additional responsibilities when needed.
This position is responsible for providing administrative support to a team of Sales/Events Managers, alongside the planning and execution of basic events. The ideal candidate has a friendly demeanor, the ability to learn new computer programs, can multitask and complete projects in a timely manner. This person should demonstrate exceptional customer service and problem-solving skills.

Responsibilities
  • Administrative Support: Provide administrative support to the sales and events team and COO, including pulling reports, organizing meetings, taking minutes, and chasing up overdue client payments. Ensure information is correct and up to date in our event booking software – making sure account details are up to date, item resources are correct, menus are correctly inputted into the system
  • Sales & Events Support: Assist sales leaders in improving productivity and help Event Specialists prioritize their time by providing various support services.
  • Lead Qualification: Handle all incoming new inquiries sent through the sales inbox, sales phone line, or website, and divert them to the appropriate business unit or salesperson.
  • Special Projects: Assist the department with special projects as needed.
  • Event Management: Manage internal events, and tenant event requests and logistics. Provide on-site event support when needed.
  • Safety Compliance: Demonstrate safe work practices at all times by adhering to safety policies and procedures. Report any safety hazards or concerns to the appropriate individuals. Review all OH&S notices and distribute to OH&S board.
  • Other Duties: Perform other duties as required.
Qualifications
  • Experience in sales, hospitality or events considered an asset.
  • High level of energy with strong communication, interpersonal, relationship building and negotiating skills.
  • Ability to work independently and as part of a team.
  • Ability to work with and instruct teams in other departments outside of your own
  • Ensures professionalism and quality in all situations.
  • Proven organizational, time-management and multi-tasking skills.
  • Must be proficient in MS Office (Word, Excel, Outlook, PowerPoint, etc).
  • Strong customer service focus.
  • Must have a valid driver’s license and the ability to work a flexible schedule including extended days, evenings and weekends as necessary.
  • Effective people skills and well developed oral and written communication skills and the ability to communicate and interact effectively at all levels.
  • Highly organized, detailed and able to prioritize and work on several events/projects simultaneously while demonstrating flexibility in working with last minute changes.
  • Effective follow through skills regarding a multitude of daily administrative and logistical requirements.
  • Strong verbal and written communication skills, including but not limited to the ability to comprehend, transmit, edit and create well written instructions and business correspondence.
  • Experience with Ungerboeck (Momentus) Event Management software considered an asset
