Job description

Summary The Lake Lanier Olympic Park Event Assistant supports the planning, coordination, and execution of special events by assisting with client communication, event setup, billing follow-up, and on-site operations. This role is highly customer-facing and requires flexibility, organization, and the ability to support long event days while maintaining excellent service standards. Job Duties Monitor and assist with event setup and breakdown, queuing lines, and layout adjustments.

Including set up and or place vent enhancements in requested designated area after floor layout is complete. Ie. Drink service, easels, etc.

Assist Event Managerial staff during day or evening events as needed or scheduled. Allowing managers support for long event days as well as ensuring smooth transition period between event set-up and actual event start time. This may include early mornings, nights and weekends.

Work with clients and event managers in building layouts and room configurations based on event needs and client requests. Accept day to day deliveries and ensure the recipient is notified of delivery or items are properly placed in designated area for event materials or building supplies. Welcome walk-in clients, guests, and vendors upon arrival and provide on-site assistance as needed.

To include rental inquiries, short informational tours regarding the park and the Boathouse as time permits and gather contact information for leads. Schedule and conduct site visits with vendors and potential clients. Assist event managers during final meetings and walk throughs prior to an event by taking notes during said event.

Enter and maintain accurate client notes and event details in the event management system. Assist with follow up communications on leads received by walk-in clients, phone inquiries and emails by to support bookings. Manage event billing and final invoicing with accuracy and efficiency, consistently meeting a 30-day billing cycle.

Manage linen orders, including quantity tracking, ordering, and coordination with vendors. Assist with monitoring The Boathouse event-related inventory and supplies. Act as a Manager on Duty during scheduled special events.

These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. Minimum Qualifications Minimum 1 year experience with hospitality, event planning, customer service and experience which provides the minimum level of qualifications stated above.

Licenses and Certifications: Valid Class C Driver's License and a satisfactory Motor Vehicle Record (MVR). Knowledge, Skills and Abilities: Must be detailed oriented and have excellent customer service skills. General knowledge of the Boathouse A/V equipment.

Knowledge of Microsoft Office Professional products preferred and ability to learn the planning and scheduling software being used by Lake Lanier Olympic Park. Ability to organize time, priorities and schedules and plan tasks, project plans and timelines with limited supervision. Ability to communicate clearly and effectively, both orally and written.

Ability to handle multiple priorities, problems and demanding situations. Must be able to lift up to 25 pounds. Ability to establish and maintain effective working relationships with team members, customers, event guests, City employees, and the general public.

Ability to follow implemented policies and procedures while maintaining the Boathouse and Lake Lanier Olympic Park standards of service. Ability to work well in a team environment while also being able to work with limited supervision. Ability to convey a professional and positive image and attitude at all times while on Lake Lanier Olympic Park property or during a City event.

Maintain a flexible work schedule to meet the demands of the event and hospitality industry; hours may be long and irregular. Must be goal and results driven. Performs other related duties as required.
