What is an Applicant Tracking System (ATS)?

An Applicant Tracking System (ATS) is a software application used by organizations to manage their recruitment and hiring processes. It helps automate tasks such as posting job openings, collecting and organizing resumes, tracking applicants through different stages, and communicating with candidates. ATS platforms are designed to streamline the hiring workflow, improve organization, and ensure compliance with hiring regulations. Many systems also include features like resume parsing, interview scheduling, and analytics to help employers make informed decisions.

What are some common challenges faced by professionals working with Applicant Tracking Systems (ATS) in a recruitment team?

Professionals who manage or work with Applicant Tracking Systems often encounter challenges such as ensuring data accuracy, integrating the ATS with other HR software, and maintaining a user-friendly experience for both recruiters and candidates. Additionally, staying updated with evolving compliance standards and optimizing workflows to reduce manual tasks can be demanding. Collaboration with IT and HR teams is crucial for troubleshooting issues and customizing the system to meet the organization's specific recruitment needs.

What is the difference between Applicant Tracking System vs Recruiter?

While an Applicant Tracking System is a software tool that automates and manages recruitment workflows, a Recruiter is a human professional responsible for sourcing, interviewing, and hiring candidates. The ATS supports recruiters by organizing candidate data and automating tasks, whereas recruiters actively engage with candidates to fill positions efficiently.

What are the key skills and qualifications needed to thrive as an Applicant Tracking System (ATS) Specialist, and why are they important?

To thrive as an Applicant Tracking System (ATS) Specialist, you need expertise in recruitment processes, HR best practices, and a solid understanding of data management, typically supported by experience in talent acquisition or human resources. Familiarity with leading ATS platforms (such as Workday, iCIMS, or Greenhouse), HRIS systems, and relevant certifications like SHRM or PHR is important. Strong analytical skills, attention to detail, and effective communication help specialists optimize workflows and collaborate with hiring teams. These abilities ensure efficient talent acquisition, regulatory compliance, and a smooth candidate experience.

Job description

Acting Capacity Assignments

Multiple locations throughout Maine for administrative, professional, and supervisory bargaining units.

When assigned temporarily to perform the work of a higher paid job classification, an employee in this unit shall be paid as if the employee had been promoted for the duration of the acting capacity, provided the following criteria are met:

  • The employee must perform the majority of the higher classification duties.
  • The temporary assignment must last for eleven (11) consecutive workdays, whereupon, the higher pay in the higher pay level will be made retroactive to the first day on which the higher duties were assumed.

When an absence or vacancy occurs, for whatever reason, that can be anticipated prior to the actual first day of absence and is expected to last at least eleven (11) days, acting capacity may be granted on the first day of such absence.

Acting capacity assignments shall last no longer than nine (9) months in duration, if the position being filled temporarily through the acting capacity assignment is vacant.

If an employee is in acting capacity for a vacant position, any time spent in acting capacity shall not qualify for the experience requirement for the purpose of filling that specific vacancy, but performance in the acting capacity assignment shall be considered.

Beginning July 1, 2021, employees interested in being considered for acting capacity assignments shall submit an application through the Human Resources applicant tracking system, and include a letter of interest and a current resume. Such applicants will be shared with the Selecting Authority, or designee. Acting capacity decisions will be based on knowledge, skills, performance, training record, education or equivalent experience, operational needs, and geography. Any employee who submits a letter of interest and resume shall be automatically included within the Human Resources applicant tracking system. These applications will be retained until the applicant chooses to update them. Employees working in the location with the need for acting capacity will be considered for the assignment before those from other locations. Any applications submitted prior to July 1, 2021 shall not be considered.

** IMPORTANT: If you are interested in an Acting Capacity Assignment that is currently posted, please apply directly through that posting in the Applicant Tracking System. Reach out to HR.Help@courts.maine.gov if you have any questions or concerns.

If you have any questions about the online application process, please contact the Judicial Branch Human Resources Department at HR.Help@courts.maine.gov.
