Job description

Position Summary

The Senior Accountant supports the Controller and broader office operations by executing day-to-day accounting transactions, reconciliations, and administrative workflows within a small HVAC contracting office. This role is responsible for maintaining accurate financial and operational records through timely processing of cash activity, account reconciliations, job-level tracking support, accounts receivable, and inventory.

The position operates within established accounting systems and procedures managed by the Controller, contributing to the accuracy and integrity of financial data used for reporting, job performance tracking, and business decision-making.


Key Responsibilities

Accounts Receivable

  • Post customer payments and deposits accurately within the accounting system
  • Maintain timely and accurate cash application to customer accounts
  • Research and resolve payment discrepancies in coordination with internal teams
  • Prepare monthly customer invoices, including AIA billings
  • Maintain accurate accounts receivable transaction records
  • Manage customer collections process, including monitoring aging reports, contacting customers regarding past-due balances, resolving billing discrepancies, and maintaining strong client relationships to improve cash flow and reduce outstanding receivables


 General Accounting Duties

  • Assist with monthly reconciliation schedules and reporting support materials
  • Maintain organized documentation supporting all reconciliations
  • Identify and resolve discrepancies in partnership with the Controller

·         Oversee job-related invoices payable and associated lien waivers

  • Create monthly fixed asset and depreciation schedules
  • Maintain prepaid insurance amortization schedules


 

Job-Level Financial Tracking Support

  • Support job reconciliation processes by reviewing cost activity and identifying variances
  • Assist with ensuring job-related transactions are properly coded and recorded
  • Collaborate with project and service teams to clarify job-related financial activity
  • Maintain job tracking documentation to support Controller-led reporting and analysis
  • Provide organized financial inputs used in job performance review and reporting processes


Inventory & Operational Coordination

  • Perform periodic reconciliation of inventory records to physical counts
  • Track material usage and assist in identifying discrepancies
  • Coordinate with warehouse and field teams regarding inventory movements and adjustments
  • Support purchase order and receiving documentation accuracy
  • Maintain inventory and operational tracking spreadsheets


Role Alignment & Working Structure

  • This role operates within accounting and operational systems managed by the Controller
  • This position focuses on accurate execution, reconciliation, and maintenance of underlying financial and operational data that supports Controller-led reporting and decision-making
  • Responsibilities are collaborative in nature, with escalation and review handled through the Controller


Qualifications

  • 3+ years of experience in accounting support, bookkeeping, or operational finance roles
  • Strong experience with reconciliations, payment processing, or transaction-level accounting
  • Associate’s or Bachelor’s degree in accounting or related field, or equivalent experience
  • Proficiency in Excel and accounting software systems
  • Strong attention to detail and ability to manage multiple priorities
  • Effective communication skills across office, field, customer and vendor interactions


Preferred Skills

  • Experience with job tracking or project-based financial systems
  • Familiarity with construction or service-based business environments preferred
  • Inventory reconciliation experience
  • Exposure to credit card or multi-account reconciliation processes
