SUPERVISOR TITLE: DIRECTOR
GENERAL PURPOSE OF THE JOB:
The Academic Coordinator supports the administration, coordination, and continuous operation of academic processes within the Accelerated Sciences Division. This role is responsible for supporting faculty coordination, course readiness, learning management
system (LMS) administration, examination processes, and standardized academic operations across accelerated five-week academic course blocks. The Academic Coordinator works collaboratively with Academic Affairs leadership, faculty, operations staff, and Enrollment Support Services to support instructional quality, policy implementation, operational
efficiency, and student academic processes in alignment with institutional standards and timelines. This position reports to the Director of the Division.
Southern California University of Health Sciences (SCUHS) Accelerated Sciences Division offers intensive science courses both online and on-campus that can be completed in five weeks. The successful candidate for this position is responsible for representing Accelerated Sciences and SCUHS in a positive and professional manner and in accordance with
institutional policies consistent with the highest of ethical standards.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Faculty Management & AdministrationÂ
• Monitor the Academic Affairs email inbox and respond to faculty inquiries as needed each day.
• Create and manage weekly email updates for faculty to outline key tasks and priorities for each block.
• Support the development and facilitation of two to three faculty workshops per term to support instructional development.
• Coordinate the instructor tutoring pool, ensuring appropriate faculty-student matches.
• Assist in the development and maintenance of the department training modules for faculty.
• Support implementation and enforcement of remote examination protocols in coordination with faculty and academic leadership, including live virtual proctoring support when necessary.
• Assist in the coordination and facilitation of Pre-Term Faculty Meetings at the start of each academic term to ensure alignment on academic operations, instructional expectations, and departmental processes.
Course Management & AdministrationÂ
• Coordinate academic operations across multiple accelerated five-week course blocks annually, ensuring timely execution of course readiness, faculty support, and student communication processes.
• Support course scheduling, section preparation, faculty assignments, and course quality assurance procedures in collaboration with Academic Affairs and Operations leadership.
• Assist with Canvas course setup, audits, readiness reviews, and standardized course template compliance.
• Monitor course progression throughout each academic block and escalate operational, instructional, or student concerns as appropriate.
• Coordinate academic timelines and workflow processes related to examinations, grading, incompletes, and course closure procedures.
• Maintain accuracy and consistency of academic records, instructional materials, and operational tracking systems.
• Support implementation and enforcement of standardized academic and examination policies across the division.
Student Coordination & SupportÂ
• Coordinate both the Grade Change Request and Incomplete Petition processes in conjunction with the Academic Advisor, Assistant Academic DIrector, and Director, ensuring proper documentation and follow-through.
• Oversee implementation of approved student accommodations within Canvas courses and examination environments in collaboration with Student Services, faculty, and academic leadership, ensuring compliance with institutional protocols and academic timelines.
Other ResponsibilitiesÂ
• Maintain academic operations during standard business hours when the Assistant Director of Academics is unavailable.
• Participate in weekly individual, team and departmental meetings as required. Attend other university-level meetings as instructed.
ATTENDANCE
Hours are Monday through Friday 10:00 a.m. to 7:00 p.m. Pacific Time. This remote position requires regular availability and responsiveness during scheduled work hours through approved institutional communication platforms and systems. Employees are expected to maintain
consistent communication with supervisors and team members, attend required meetings, and support time-sensitive academic operations in a timely and professional manner.

EDUCATION AND/OR EXPERIENCE:
• Bachelor’s degree required in Higher Education Administration, Educational Leadership, Health Sciences, Instructional Design, Educational Technology, or a related field.
• Master’s degree preferred.
• Experience supporting academic operations, online learning environments, faculty coordination, or student services in higher education strongly preferred.
• Experience working in accelerated, asynchronous, online, or non-traditional educational environments highly desirable.
• Experience supporting adult learners and students-at-large populations preferred.
COMPUTER & SOFTWARE SKILLS:
• Advanced proficiency with learning management systems (Canvas strongly preferred), including course management, communication tools, grading workflows, analytics, and user support.
• Experience supporting online and asynchronous academic delivery models.
• Familiarity with student information systems (SIS/ERP platforms such as Jenzabar or similar systems) preferred.
• Experience coordinating academic operations across multiple integrated systems and platforms.
• Proficiency with Microsoft Office Suite applications.
• Ability to learn and adapt quickly to new educational technologies and institutional systems.
• Experience troubleshooting student and faculty technical issues in collaboration with institutional IT teams.
• Familiarity with online exam proctoring platforms (Respondus LockDown Browser and Monitor or similar technologies) preferred.
• Experience utilizing AI-supported tools or educational technologies to support instructional materials, communication workflows, and operational efficiency preferred.
• Ability to manage high-volume communication workflows across email, LMS, SMS, and virtual meeting platforms.
