The Position:

The Regional Operations Administrator is a key role that ensures excellence in client service.This role will maintain the administrative organization of the branch offices within the Hub and warmly interact with clients. This will require strong personal skills over the phone and in person.

Responsibilities:

  • Greet and engage with clients visiting the branch
  • Main point of contact for all administrative and general office support responsibilities
  • Responsible for answering incoming calls for the Region
  • Manage branch ambiance and function (i.e. maintain plants, dcor, etc.)
  • Manage regional office hardware (i.e. keyboards, phones, cables, stamp meter, etc.)
  • Serve as point-of-contact with Building Maintenance for any office servicing needs
  • Maintain and manage security lock software for the branches within the Region Expense management and tracking
  • Act as point-of-contact for technology team as it relates to regional needs.
  • Provide desk-side technical support for team members as needed.
  • Schedule third party vendors for office maintenance throughout the Region
  • Responsible for scheduling of client reviews through Salesforce workflow, coordinating appointment priorities with advisors and updating systems appropriately as necessary.
  • Manage conference room scheduling.
  • Coordinate with Client Service team members and advisors on action items from client review meetings
  • Send client gifts as requested by team members and coordinate/send birthday gifts and cards.
  • Maintain branch compliance files as necessary in conjunction with the Client Service Managers (Entertainment/Gift Logs, Correspondence, Business Continuity Plans, etc.)
  • Track & submit securities licensing, renewal and state appointments for each advisor
  • Notary function for the Region
  • Confirm appointments using appropriate software
  • Receive, log, and distribute all mail, FedEx, UPS and general deliveries
  • Inventory and order office and break room supplies for branch offices within the Region
  • Coordinate special events for the region (i.e. region lunches, holiday parties, etc.)
  • Support and assist Regional Operations Directors and Regional Director(s)/Branch Managers as requested.
  • Work on special projects as requested

Requirements:

  • A minimum of 3-5 years of front office experience
  • Ability to organize, prioritize and handle multiple tasks
  • Effective written and verbal communication skills
  • Excellent teamwork and time management skills
  • Energetic, outgoing personality while interacting with guests and team members Ability to act with integrity, professionalism, and confidentiality. Proficiency with Microsoft Office Suite or related software.
