JOB TITLE: Training Specialist

DIVISION: Adult Services

DEPARTMENT: Reentry Program

LOCATION: Northwest Activities Center – 18100 Meyers Rd. Detroit, MI 48235

REPORTS TO: Reentry Program Manager

FLSA STATUS: Non-Exempt/Hourly

CLASSIFICATION: Full-Time Regular

JOB SUMMARY: Works with coaching staff to ensure participants’ intake paperwork is entered accurately and timely and Individual Training Accounts (ITAs) are generated within the appropriate funding source. Responsibilities include data entry and assisting in compiling, tracking and reporting of training completions and other key performance data. Supports the team by processing participant supportive services.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  1. Enters participant training activity data into the One Stop Management Information System (OSMIS) and internal reporting system; ensures accuracy of data entered.
  2. Compiles program statistics and performance data and prepares related reports for submission.
  3. Participates in the maintenance of an up-to-date automated reporting system to track program participation hours/program completion and placement status of program participants.
  4. Develops and maintains a working relationship with the customer, Career Coach, and funder’s training department to ensure that concerns/barriers to successful program completion are addressed and resolved appropriately; provides referrals as determined necessary.
  5. Processes all supportive service payments including ensuring information is accurate, back up documentation is validated, and purchase orders are completed and submitted. Assists with the procurement of vendors as needed.
  6. Maintains accurate and up-to-date participant hard files and performs QA of system records.
  7. Uploads pre-requisite training documents and completion certificates/licenses to Launchpad; creates required events/ITAs.
  8. Conducts follow-up activities to monitor customer’s progress during training period and after achievement of educational goal; maintains related documentation.
  9. Stays abreast of all changes related to WIOA training requirements, current labor market, and occupational trends.
  10. Maintains an accurate tracking system to monitor enrollment, retention and participant’s progress and prepares activity reports as required.
  11. Contributes to the team effort by performing other duties as assigned.

JOB QUALIFICATIONS:

  1. Graduation from an accredited four-year college or university.
  2. Experience in career planning, placement, employment, training, or a related field preferred.
  3. Knowledge of career development and case management principals, objectives, standards, and methods; and of program policies and procedures.
  4. Interpersonal skills necessary to effectively communicate and build professional relationships with funders, training providers, assess customer needs and assist with case management.
  5. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint and Access).
  6. Ability to make visits to up to five sites within a month to collect and/or drop off documents needed in hard copy form.
  7. Computer skills necessary to maintain required documentation and to access information on the Internet.
  8. Mental ability to handle pressures related to meeting placement goals and dealing with multiple individuals from diverse backgrounds and varying levels of need.
  9. Must possess and provide a valid Michigan Driver's License. Incumbent must have a reliable means of transportation and be willing to work a flexible schedule

PHYSICAL DEMANDS: The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this position. While performing the duties of this job, the employee is regularly required to see, talk and hear. The employee is frequently required to stand, walk, sit for extended periods of time, and have sufficient hand, arm, and finger dexterity to operate a phone, computer keyboard, and other office equipment. Must be able to lift a minimum of 10 pounds.

WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. -This job operates in a normal school environment with a noise level, which is at times, moderately loud with little discomfort due to noise, dirt, dust and the like. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
