Are you a healthcare Administrative Assistant who is frustrated at your current job?  Are you interested in being part of a practice that truly makes a difference in patients lives?  Does a career in behavioral health sound rewarding?  If so, this may be the position for you.  Prime Behavioral Health is looking for a new Administrative Assistant to join our growing team.  The Administrative Assistant play a key role in representing our practice within the community. As an Administrative Assistant at prime you are responsible for interacting with patients and managing administrative tasks for the clinical team.  The ideal Administrative Assistant candidate will have at least 3 years working in healthcare.  Experience in behavioral health is a plus but not required.  The Administrative Assistant reports directly to the Office Manager.  The Administrative Assistant’s main role is to serve as a point of contact for patients before and after their appointment.  If this Administrative Assistant position sounds like you, please read on.

 

Duties and responsibilities include:

·        Greets patients promptly, efficiently, and professionally both in person and on the phone

·        Takes messages or transfers calls to the proper department

·        Checking patients in/out

·        Confirms patient demographics and insurance information, including eligibility at each visit and accurately enter any updates or changes

·        Collects patient copays and outstanding balances 

·        Schedules any necessary follow up appointments after completion of patient visit

·        Calls and reschedule cancellations and no-shows (after collection no-show fee)

·        Quickly answering or properly referring questions and issues

·        Optimizing provider schedules and patient satisfaction with efficient scheduling

·        Notifying providers of patient arrivals or scheduling changes promptly

·        Obtains patient authorization for treatment and medical records release (HIPAA compliance).

·        Ensures availability of treatment information by retrieving and updating patient records.

·        Processes incoming/outgoing faxes

·        Safeguards patient’s privacy and confidentiality

·        Performs all duties within HIPPA regulations and compliance

·        Scanning pertinent patient information into EMR including insurance cards, picture ids and medical records.

·        Assist with other clerical duties to ensure optimization of patient experience within the practice.

·        Assist with maintaining office cleanliness.

·        Other duties as assigned

 

A successful Administrative Assistant requires a good understanding of behavioral health practices and patient care. They should possess the ability to communicate with patients, coworkers and supervisors professionally and compassionately.

 

The Ideal Candidate should have a variety of office skills and qualifications, such as:

·        Superior customer service skills

·        Effective Communication skills to converse clearly over the telephone and in person, proficiency in English required

·        Strong Organization and time management skills in order to manage a variety of tasks effectively and prioritization of workload  effectively

·        Strong written communication skills

·        Attention to detail to schedule patients correctly and communicate scheduling difficulties with providers

·        Ability to work independently on assigned tasks as well as accept direction on given assignments.

·        Strong computer and technological skills, such as using email, internet, word processing and spreadsheet programs to track data

·        Interpersonal skills to interact positively with patients who may be upset or stressed.

·        Able to work productively within a team

·        Previous EMR experience

·        Ability to work in a fast paced environment

·        Basic understanding of medical terminology

·        Ability to be Flexible in job assignments
