El Futuro is currently hiring a full-time Bilingual Clinic Assistant in Durham to provide administrative support to the entire El Futuro office. We are seeking someone with excellent customer service skills, who is very committed to working with the Latino community in North Carolina.
This position works 37.5 hours per week in-person in the Durham Clinic and may require travel to the Siler City Clinic to provide back-up coverage. Therapists ensure 8 hours of client appointments per week are scheduled after 4:00pm, and must be available for Friday morning meetings, 9:00-11:00am.

Typical Schedule, may change as clinic needs arise:
- Monday - 10:00am - 6:00pm
- Tuesday - 11:00am - 7:00pm
- Wednesday - 10:00am - 6:00pm
- Thursday - 11:00am - 7:00pm
- Friday - 9:00am - 5:00pm
ESSENTIAL FUNCTIONS
The Clinic Assistant performs a wide range of functions including, but not limited to the following:
Front Desk functions:
- Answering incoming calls
- Responding to inquiries about programs and services
- Speaking with and assisting clients
- Receiving and accommodating clients and visitors
- Maintain order in waiting area
- Checking voicemail and following up
Facilitate appointments:
- Administrative Support virtual functions
- Reminder calls to client 1 business day before the scheduled appointment.
- Reminder text to client 1 business day before the schedule appointment
- Maintain schedules of each clinician based on their needs/preferences
- Receive payments from clients
Process new clients:
- Complete financial intake information and communicate the financial responsibilities of the client to El Futuro
- Accurately and completely enter B-1 data into IMS
Office equipment and operations:
- Keep printers full of paper
- Keep common areas straight and organized (break room, waiting area, office machine stations)
Other:
- Scan records into IMS regularly based on need.
- Maintain discretion with regards to private information and follow HIPAA compliance policies.
- First line security: call 911 if there is an emergency then follow crisis protocol.
- Direct incoming faxes to the appropriate recipient.
- File documents in client’s file.
- Keep sanitation stations stocked with masks, wipes and hand sanitizer.
General Responsibilities for El Futuro Staff:
- Participate in meetings and organizational related activities as directed by the supervisor, which may include All Staff Meeting, Individual Supervision, participation on a committee, or other activities.
- Play an active role in the continued development of El Futuro’s work via participation in fundraising and other agency-wide activities.
- Engage in learning opportunities through “La Mesita”, El Futuro’s training platform and network of bilingual providers in North Carolina, or through other appropriate career development opportunities.
EDUCATION and/or EXPERIENCE
- High School Diploma or equivalent.
- Minimum of 2 years of experience in front desk, reception, customer service, or other related field.
- Required: Fluency in Spanish and English.
KNOWLEDGE, SKILLS, ABILITIES
- Demonstrated customer service skills.
- High level of organization, prioritization, communication, and listening skills.
- Flexibility, creativity, and adaptability to meet the changing needs of clients and El Futuro.
- Proficiency in Microsoft Office and electronic health record systems (El Futuro uses IMS).
- Commitment to the mission and values of El Futuro and the ability to work collaboratively within a multidisciplinary team.
