DEPARTMENT: Student Services

DLSE STATUS: Non-exempt

CATEGORY: Full Time

SALARY RANGE: $22.31 to $32.26 per hour

LOCATION: On- Site

Job Summary:

The Student Center Coordinator will provide administrative front desk support and will perform a variety of clerical duties including greeting guests, answering phone calls, answering student related questions, general inquiries, scheduling meetings for department personnel, and preparing documentation and/or other related materials for department personnel.

Essential Duties and Responsibilities:
  • Provide administrative support to Units within the Division of Student Affairs
  • Greet people entering the building, answering any questions, providing direction, and alerting staff when someone is there to meet or visit them
  • Assist incoming students who come into the office to apply for academic programs including providing them with information regarding the application process
  • Complete filing and data entry as requested by Units
  • Answer a multiple line phone system, manage calls by routing them to the proper extensions or taking messages and delivering them within our message system along with setting up conference calls and various meetings as requested
  • Manage the office log and system of who is entering and exiting the building
  • Assist with booking campus space for all departments in the Student Center, including events and meetings.
  • Accept deliveries and mail, organize them to be distributed to the correct recipients using the office mailing system and ensure they get to the recipient in a timely manner while also managing outgoing mail and packages for pickup
  • Serve as the face of the institution, offering friendly service to those entering the building or calling in on the phone
  • Maintain the reception area, keeping it clean and free of clutter
  • Manage the Student Center staff lounge inventory and submit restocking request for managerial approval per department
  • Serve as internal resource to faculty, administrators and others. Respond to inquiries and requests for information requiring knowledge of departmental and University policies and procedures. Act as primary contact for telecommunications, information systems, vendors, travel services, and facilities as needed.

Other Duties and Responsibilities:

Qualifications/Requirements:

EDUCATION:

  • Regionally accredited Associate’s degree and/or equivalent of combine education and experience in the related field.

EXPERIENCE:

  • 3+ years’ experience in an education or University program.
  • Experience with software technology; strong technical aptitude.

KNOWLEDGE/ABILITY/SKILLS:

  • Ability to analyze and solve problems.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to create, compose and edit written materials.
  • Ability to gather data, compile information and prepare reports.
  • Ability to make administrative/procedural decisions and judgments.
  • Ability to supervise and train clerical staff.
  • PC proficient with working knowledge of PowerPoint, Access, and Word.
  • Database management skills.
  • Records maintenance skills.
  • Detail oriented.
  • Skills in organizing resources and establishing priorities.

COMPLEXITY:

  • The ability to perform highly detailed work with sustained attention and care while providing/obtaining information on numerous inquiries is paramount to success in this position.
