Title: Executive Admin Assistant
Location: Alameda, CA
Duration: 12 Months (with possible extensions)
Start Time (AM/PM): Flexible 8 am or 9 am
End Time (AM/PM): Flexible 5 pm to 6 pm
Description
- This position is NonExempt. Hours over 40 will be paid at Time and a Half.
- Provides administrative support to executive-level management: meeting scheduling, travel arrangements, correspondence, report preparation, tracking department budgets and meeting planning/preparation.
- Handles all routine mail or inquiries and sets priorities to projects assigned.
- Keeps an accurate calendar of appointments, meetings and due dates for executives.
- Requires previous experience and may require additional training specific to the corporate culture and procedures.
- Functions with minimal supervision.
- Traditional administrative assistant work including all calendaring for the Director including her travel.
- Office Suite experience with Outlook, Excel, Word, and PowerPoint.
- Will be coordinating her meetings and with scheduling room, meals, etc. as well as helping with any offsite meetings.
- Will be managing IT requests, budgets, org charts, headcount allocation, ordering office supplies, onboarding new hires are some items mentioned.
- Will also be doing any ancillary support for team members including assisting project managers.
- Must have C-Suite level experience and have worked in that environment.
- Education is a Bachelor's with min of 3 years of C-Suite Executive experience or a High School diploma with at least 8 years of C-Suite Executive experience.
- Interview: There will be a Teams video with Jennifer and 2nd round will be a Teams Video with another manager.
