Summary:

We are seeking a highly organized and detail-oriented individual to fill the role of Office Manager in our University's Financial Aid Office. The ideal candidate will play a crucial role in ensuring the efficient operation of the office, managing administrative tasks, supervising work studies, and providing exceptional support to students, staff, and members of the university community. The Office Manager will work in a dynamic and fast-paced environment, contributing to the overall success of the Financial Aid Office's mission.


Responsibilities:

  • Administrative Leadership:
    • Oversee and coordinate daily office operations, ensuring a smooth workflow and adherence to established processes.
    • Serve as the primary point of contact for internal and external inquiries, demonstrating professionalism and excellent communication skills.
    • Manage office supplies, equipment maintenance, and procurement to ensure availability and functionality.
  • Staff Supervision:
    • Lead, mentor, and guide work study staff, fostering a positive and collaborative work environment.
    • Assign tasks, monitor performance, provide constructive feedback, and facilitate professional development opportunities.
  • Financial Aid Support:
    • Assist in the administration of financial aid programs, including the processing and distribution of grants, scholarships, loans, and work-study opportunities.
    • Collaborate with the financial aid team to ensure accurate and timely processing of student applications and awards.
  • Records Management:
    • Maintain accurate and organized student records, ensuring compliance with data protection regulations and university policies.
    • Generate reports and compile data as needed for institutional reporting and auditing purposes.
  • Student Services:
    • Provide exceptional customer service to students, families, and visitors, addressing inquiries, concerns, and requests promptly and professionally.
    • Guide students through the financial aid application process, explaining eligibility criteria and application requirements.
  • Communication and Outreach:
    • Assist in the creation and distribution of informational materials related to financial aid programs, deadlines, and workshops.
    • Collaborate with other university departments to facilitate seamless communication and coordination of services.
  • Event Coordination:
    • Assist in planning and executing financial aid workshops, seminars, and information sessions for students and families.
    • Coordinate logistics, invitations, and materials for events and ensure their successful execution.


Qualifications:

  • Associates' Degree in a related field.
  • 3 – 5 years’ experience in a relevant field.
  • Proven experience in office management, preferably in an educational or financial aid setting.
  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Proficiency in office software applications (e.g., Microsoft Office Suite, database management).
  • Supervisory experience and the ability to lead and motivate a team.
  • Knowledge of financial aid processes and regulations is a plus.
  • Attention to detail and commitment to accuracy.
  • Multilingual skills highly preferred.
