Job Description

JOB TITLE: Sales Coordinator


DEPARTMENT: Sales Department


SUPERVISOR: Director of Sales


PURPOSE OF POSITION:


Assists Area Director of Sales in all facets of the sales/marketing/service process by typing, copying, faxing, mailing, distributing and filing related correspondence as well as answering and responding appropriately to incoming telephone calls.


ESSENTIAL FUNCTIONS:


  1. 50% Enters data to produce contracts, correspondence, forms, memorandums, sales software and property management system updates, and other documents.

  1. 25% Answers telephone and responds to caller inquiries. Exercises decision-making skills to direct callers based on requests. Accurately records and distributes messages. Communicates with other hotel associates to relay pertinent sales related information.

  1. 15% Organizes, files, distributes, emails, faxes, and other essential functions necessary in the daily department operation.

  1. 5% Act's as liaison between Area Director of Sales and clients in Area Director of Sales absence.

  1. 5% Performs supportive functions as needed.

  1. Knowledgeable of brand standards, service standards, guest expectations.



MANDITORY JOB REQUIREMENTS:


  1. Good communication skills, both written and oral.
  2. Excellent organizational skill, multitasking skill.
  3. Working knowledge of Microsoft Office.
  4. Ability to input data into computer at a minimum rate of 40 w.p.m.
  5. Basic secretarial knowledge such as business letters, formats, and telephone etiquette.
  6. Perform other duties as assigned.

ACCOUNTABILITY:

  1. Error-proof correspondence.
  2. Work completed in a timely fashion.

EXPERIENCE OR TRAINING REQUIRED:

Any combination of education and experience that provides the required knowledge, typing, and communication skills and abilities. High school diploma required. Bilingual English/Spanish preferred but not required.

MARGINAL JOB FUNCTIONS:

  1. Ability to assist in other departments when necessary.
