Job Description

 

SUMMARY

 We are looking for a Sales Support/Coordinator to join our team! Sales Support/Coordinator will be responsible for providing support to the sales team and customers during the sales process. They help customers resolve sales-related issues in a timely manner, generally providing real-time support. 

You must be able to work with a sales team, but also work independently. Being goal-oriented, organized and able to manage time well will help you in this field. Communication and interpersonal skills are a must, as most of this job involves customer support.

This role will also assist as a back up to the reception/front desk area.  

 

ESSENTIAL FUNCTIONS

  • Ability to utilize AGM’s software programs and hardware components effectively and efficiently 
  • Scans, copies, and files Sales Department documents using multi-functional commercial copy machine
  • Learns how to process all requests for quotes accurately
  • Assists customers who contact the department and checks order and quote status  
  • Handles customer inquiries (such as expedite requests) and follows AGM’s process for expediting orders and following up with AGM customers
  • Completes basic orders and quotes to assist AGM’s Account Representatives
  • Follows up on orders placed on “hold” status
  • Tasked with pulling “closed orders” and “expired quotes” to follow AGM’s process for scanning and/or recycling such paperwork
  • Creates folders, labels, etc. for all AGM departments, as needed
  • Answers AGM’s multi-line phone system as needed greeting, assessing the nature of the call, and directing caller to the proper area 
  • Greets all visitors, ensuring all visitors are signed in and out as appropriate, while following proper badge procedures
  • Processes and distributes incoming mail, as well as prepares outgoing mail for pickup
  • Provides the public (i.e. AGM applicants, customers, and vendors) with general information about AGM, as needed

 

 

COMPETENCIES

 

To be successful in this position, the incumbent must have strong clerical skills, a positive attitude, and the ability to multitask. In addition, this position requires organization, attention to detail and accuracy, flexibility, and significant self-motivation and initiative. Must have the ability to maintain poise and composure during difficult situations, and be able to communicate tactfully and professionally at all times. Must be technologically literate, with a strong knowledge of Microsoft Office programs, as well as familiar with various other common workplace tools, such as multi-functional commercial copier and multi-line phone systems. This position requires a person to speak clearly and effectively on the phone and paging system.

 

EDUCATION / EXPERIENCE

 

Associate’s degree or equivalent from a two-year college or business school; or two to three years related experience and/or training; or equivalent combination of education and experience.

 COMMUNICATION PROFICIENCY

 

Must be able to speak, read and write English effectively. Must have the ability to read, analyze and interpret various documents, procedures, and correspondence. Must have sufficient writing ability and typing speed in order to effectively produce correspondence and documents that meet AGM’s standards. Must have the ability to communicate clearly with tact and eloquence during interactions with individuals and groups across all levels of the organization, as well as with applicants, customers, vendors, and members of the community.

 

MATHEMATICAL APTITUDE

 

Must be able to apply basic mathematical concepts, such as addition, subtraction, multiplication, division, fractions, percentages and ratios in practical situations.

 

COGNITIVE ABILITY AND REASONING

 

Must have the ability to think logically, and then draw valid conclusions based on the given information. Must be able to interpret a variety of instructions furnished in written, verbal, diagram or schedule form.

 

PHYSICAL DEMANDS

 

While performing the duties of this job, the incumbent will be required to see, speak and hear, sit and/or stand, and use hands to touch, handle or feel objects. Must be able to lift and/or move items weighing approximately 10 pounds, and occasionally may need to lift and/or move items weighing up to 25 pounds. Specific vision abilities required for this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

 

WORK ENVIRONMENT

 

The core functions of this position will take place primarily in an office environment. The incumbent will occasionally be in the vicinity of equipment and machinery with moving mechanical parts, and may potentially be exposed to, or come in direct contact with, potentially hazardous chemicals or materials. All employees are expected to follow the proper safety procedures associated with their work area(s). The noise level in the work environment is usually minimal to moderate.

This position requires U.S. Citizenship, U.S. Permanent Residency, or status as a U.S. Person as defined by 8 U.S.C. 1324b(a)(3)). In addition, this position is subject to federal government requirements pertaining to the authorized access of controlled information; dual citizenship status may preclude certain individuals from meeting this requirement.
