Community Health Partnership is seeking an Office and Facilities Coordinator to support our growing team and oversee operations at our newly established Capacity Building. From managing day-to-day operations to coordinating public meeting spaces, you will play a pivot role in ensuring our office operates seamlessly and efficiently. This position onsite/in person presence at our CHP office.

What You Will Do
Office & Administrative Support
  • Oversees management and organization of daily operations and administrative tasks
  • Partners to assist with HR-related tasks such as onboarding and document collection
  • Collaborates with Project Managers and staff to provide administrative support such as complex calendar management, scheduling, filing, data entry, event registration, presentations, supply ordering, and other duties as needed
  • Coordinates effective meeting management including scheduling, researching and compiling data, building packets, agendas, presentations, and post meeting action items
  • Manages maintenance and support of existing and new operational equipment, systems, and technology including Butterfly, technology vendor services & support, office equipment, incoming and outgoing deliveries
Facilities Coordination & Support
  • Collaborates, leads, and assists with the logistics, planning, coordination of CHP office and meetings space, functions, and internal and external special events
  • Owns the scheduling, maintenance, and communication for the Capacity Building’s internal CHP and public bookable meeting spaces
  • Greets and welcomes guests, assists with questions, manages specific facilities needs/requests, room set up and tear down, troubleshoots and escalates IT issues, and other facilities duties as requested
  • Provides general housekeeping tasks to support the day-to-day upkeep of the building, including the breakroom/kitchen areas

What We’re Looking For
  • High school education required, bachelor's degree in business, administration, facility management, project management or similar preferred
  • Three+ years of experience in an office administration/operations, facilities management, or similar role supporting a high growth non-profit hybrid team
  • Experience coordinating and managing complex logistics for private and public venue and meeting spaces
  • Excellent organizational and time-management skills to handle multiple tasks simultaneously
  • Highly skilled in adapting to various demands/competing priorities, skill levels, and support needs
  • Exceptional communication and interpersonal skills, with the ability to demonstrate empathy, patience, and compassion
  • Strong background in data entry, budget tracking, contract negotiation, and vendor management
  • Ability and initiative to identify and implement operational efficiencies
  • Demonstrated ability to efficiently coordinate complex schedules and calendar management
  • Proficiency in Microsoft Office, virtual meeting platforms, and other relevant software
  • Experience in project management tools and social marketing technology, Asana and Mailchimp preferred
  • Flexibility to work occasional evenings or weekends operating on call and with as-needed availability, when necessary
