Job Description

The Facility Assistant Manager assists in maintaining the building, marina, grounds and landscaping and supervises projects, programs and staff as requested. The Facility Coordinator will be responsible for making sure all equipment such as HVAC, elevator, marina, exercise facility and any other instructed areas are kept operational and clean as directed by the Facility Manager. In addition, all services provided for Owners will be carried out with courtesy and respect and will maintain the privacy and security of the owners. This position reports to the Facility Manager.

Building, Grounds, Dock, Landscaping and Equipment Maintenance

Implement necessary repair and maintenance of: landscaping, irrigation, grounds, elevators, generators, HVAC, common areas, plumbing, water softeners, FCI, fire extinguishers, security system, gate operation, fitness equipment and any other duties as required. Maintain the cleanliness of all common areas such as: hallways, fitness facility, conference room, marina, parking lot, trash areas and any other area as required. Assist and manage outside vendors, providing maintenance such as: window cleaners, waste management, delivery personnel, house keepers, construction workers, contractors, service tech, etc...

Homeowner Assistance

Assist owners with a variety of needs such as: unit winterization / summarization, parking, luggage, catering services, deliveries, boats (cleaning, fueling, pump out, storage and maintenance), vehicles (cleaning, storage, maintenance, fueling, service), service calls, mail, approved reasonable requests, etc...

Project and Staff Supervision

Supervise projects as requested by Facility Manager and supervise staff to complete programs and projects. Interview applicants for staff positions and make recommendations about hiring to the Facility Manager.

Education and Experience Required

High School diploma or equivalent and experience in mechanical and technical areas. Must have good mechanical skills, good judgment, attention to detail, good communication skills, integrity and be trustworthy. Helpful to have experience in the service and hospitality industry and some supervisory experience.

Tasks

• Train, supervise, manage and assist staff.

• Mail forwarding and package acceptance and delivery.

• Assisting with vehicle unloading and delivery of groceries.

• Supervision of cleaning and maintenance of interior and exterior areas including the marina.

• Summer & winterization of units.

• Moving company supervision.

• Assisting guests with parking and facility usage.

•Coordinate and supervise catering services.

• Uncrate deliveries to units. Maintain unoccupied units.

• Supervise / assist contractors and outside vendors.

• Assist owners with boats - launching, docking, fueling, covering, uncovering, servicing, driving, maintenance and cleaning.

• Maintain owners' vehicles in their absence.

•Clean owners' vehicles and garage floors as requested. Escort or direct vendors, contractors, technicians, housekeepers, etc... to units as requested.

• Accommodate owners' requests for transportation per rules or manager's instruction.

• Perform FCI system and PIV valve tests / inspections to FM Global standards (Must take training and acquire proper certification). • Implement and manage FM Global Red Tag Permit Program (Must take training and acquire proper certification).

• Perform Fire Extinguisher inspections. Understand "On Call" duty and must be available as needed including emergency response.

• Monitor, activate, delete, control and understand security system.

• Assist EVCO and McKinstry with annual security and FCI Inspections / service.

• Coordinate, bid and manage service calls for building, landscaping, common areas... as requested by facility manager.

• Maintain HVAC systems and coordinate necessary repairs / maintenance.

• Continually update seasonal staff tasks and duties.

• Add vehicles and owners to security system and program accordingly to gate, garage, unit, elevators etc...

• Supervise vendors and staff to complete projects and programs in the facility.

• Manage the custodial and maintenance requirements of the common areas and landscaping needs.
