Job Summary:

Position Title: Sr. Admin Analyst
Location: Oakland, CA 94612
Duration: 6 months
Work Schedule: M-F, 8:15 AM - 5:00 PM
 

Responsibilities for this position include, but are not limited to:

  • The Strategic Administrative Group ensures that RS&S, a department with 852 Operating and Capital FTEs of 52 different job classifications, has the staff required to meet service deliverables. Due to the size of the department and the diverse job classifications, RS&S is conducting recruitments to fill vacancies due to new positions, retirements, upgrade programs, and promotions on an ongoing basis. To ensure RS&S hires the appropriate people, RS&S has partnered with the Talent Acquisition group to streamline the recruitment process and conduct targeted and efficient recruitments where job postings, screening, testing, and interviews resources and vet the best candidates.
    The partnership with Talent Acquisition is helping RS&S hire the appropriate staff, but due to the number and diversity of the tasks, the role is significant to the department. Currently, some tasks are being shared by the Strategic Administrative Group manager, yet some still need to be performed at this time. This existing set-up cannot continue due to the critical need to meet service deliverables as the number of new cars grows. If RS&S cannot onboard the required staff, the department is in danger of not meeting service deliverables.

    Duties:
    The Senior Administrative Analyst would conduct the following tasks:
    · Initiate job requisitions.
    · Create and administer recruitment plans
    · Ensuring that recruitments stay on schedule by working with managers and coordinating with Human Resources.
    · Assist with and/or write Reallocation forms and Org charts.
    · Assist with and/or fill out Authorization to Hire forms.
    · Create and write internal and external outreach for all RS&S recruitments.
    · Develop and write interview questions and tests for specific RS&S recruitments.
    · Create recruitment and staffing-related slides for the Monthly reports.
    · Track the return dates for staff on short or long-term disability. Send reminders to managers of the dates and ensure that return-to-work forms are submitted.
    · Track vacancies and their related recruitments or requests for recruitment.
    · Creating and maintaining targeted job class-specific outreach campaigns for hard-to-fill RS&S positions – Transit vehicle electronic technicians, vehicle engineering, management, and analytical positions
    o Create materials (brochures, PowerPoint presentations);
    o Target specific schools, alum associations, and career websites.
    o Follow up with targets on results.
    o Holding on-site information sessions.
    · Organize, plan, and conduct recruitment-related events (outreach and information sessions), including facilities reservation, refreshment delivery, outreach materials, etc.

  • Education:
    A Bachelor's degree in business administration, public administration, accounting, economics or a related field from an accredited college or university.

  • Experience:
    Three (3) years of (full-time equivalent) verifiable professional administrative, analytical and/or budgetary experience.

  • Substitution:
    Additional professional experience as outlined above may be substituted for the education on a year-for-year basis. A college degree is preferred.
