Job Description

Position Summary:

Strong focus on managing the Membership function to provide outstanding member services and profitability. Maximizes membership recruitment through the successful development and execution of sales and marketing efforts. Develops and implements programs and activities designed to increase and retain membership in the club.

Assists in performing various tasks in the operations of the club including Reception and Accounting duties.

Membership - Primary Responsibilities and Essential Functions:

1. Actively solicits new members through prospecting and using network and social media channels to open doors to potential members.

2. Networks within the community to develop new relationships and gain new member referrals.

3. Creates Member Application and Information packages.

4. Provides new member orientation and onboarding programs that ensure long-term member retention and satisfaction.

5. Creates member file and profile in club’s database and sets up Alta Open.

6. Maintains records concerning membership including member database, attrition, dues, initiation fees, forecasting, etc.

7. Builds relationships and meets the needs of prospective members by providing club tours and general club information.

8. Ensures members receive outstanding, consistent, exceptional service by working with other departments to communicate member expectations and ensure expectations are met or exceeded.

9. Responds to member inquiries and coordinates special arrangements and requests.

Accounting - Primary Responsibilities and Essential Functions:

Accounts Receivable

1. Accepts and posts payments to members accounts.

2. Assists in preparation and sending member billing statement and answer any questions pertaining to the statements.

3. Post charges to member accounts when necessary to members accounts.

4. Prepares and balances bank deposits.

5. Assist members with account and billing questions, set up of auto pay and use of the member account section of Club-Essential.

6. Assists Controller with delinquent accounts.

Accounts Payable

Reviews, codes, and enters invoices into books.

1. Assists with checking in vendors.

2. Scans and sends approved invoices to controller.

3. Review and balances monthly vendor statement.

4. Files paid invoices and check stubs.

5. Assist Controller with bill paying functions.

Administrative and Reception - Primary Responsibilities and Essential Functions:

1. Assists the Flag Officers, Board Members, General Manager and other club staff with administrative tasks and office support.

2. Assists in taking dining and event reservations.

3. Purchases miscellaneous club and office supplies.

4. Performs duties as assigned by President, General Manager or Board of Directors.

Other Responsibilities/Supportive Functions:

1. Oversees administration of all membership rules to ensure consistent interpretation and application.

2. Initiates correspondence with members regarding membership issues and responds to issues regarding member satisfaction.

3. Maintains thorough knowledge of the Club’s bylaws and policies.

4. Provides recommendations to services and policies to enhance member experience.

5. Reporting to work as scheduled (on time and on a regular basis) is an essential function of the job.

Qualifications

Qualifications (relevant experience, education, and training):

High school diploma or general education degree (GED), or equivalent combination of education and experience. Bachelor’s degree in hospitality management desired but not required.

Two or more years of related experience in a similar organization.

Possess knowledge of club service standards, member relations and etiquette.

Contacts sometimes contain confidential/sensitive information so requires the ability to use discretion.

Must demonstrate a positive attitude, professional demeanor, and commitment to a high level of member satisfaction.

Requires good working knowledge of Microsoft Office applications (including Outlook, Word, and Excel) and ability to learn and operate other club computer systems. Proficient with Social Media platforms and working with websites.

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.

Must be able to speak, read, write, and understand English to communicate with management, Team Members, and members.

Due to the cyclical nature of the hospitality industry, Team Members may be required to work varying schedules to reflect the business needs of the club. Work schedules will include working on holidays, weekends, and alternate shifts. Position requires working from property location.

Must maintain a clean appearance and professional demeanor.

Encinal operates under a unique two-level management structure that works quite well for the club. The club has a senior FLAG side of the administration that is responsible for all events having to do with the water, such as race organization, use of dock facilities for events and interclub relations, and the business side of the club, all things about the running of the club and the clubhouse, is the responsibility of the President, Senior Vice President, Vice President, the General Manager and the Board of Directors. Senior Flag officers also serve on the Board of Directors.
