Admissions and Administrative Support Supervisor

PRIMARY PURPOSE

The Admissions and Administrative Support Supervisor will be responsible for leading, managing and monitoring the work of administrative support staff and clinical staff. The person in this position will play a key role in ensuring smooth and efficient departmental operations in order to provide excellent customer service and client care.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Admissions Functions

  • Directs program counseling staff in the day-to-day provision of client-centered family-focused, trauma-informed services.
  • Ensures that counseling staff have been adequately trained in the most updated version of ASAM assessments.
  • Supervises clinical staff in developing individualized and clinically appropriate treatment plans.
  • Reviews and approves all clinical documentation (assessments, treatment plans, service notes, etc. per agency policy or protocol) and conducts regular quality assurance and quality improvement reviews to ensure that all proper record-keeping is performed on a timely basis.
  • Addresses any client complaints or special needs of the client or family as indicated.
  • Monitors and provides timely and appropriate feedback and oversight on staff documentation within the electronic health record.
  • Participates in quality assurance, quality improvement, utilization review activities, and makes recommendations to the program director for plans of corrections.
  • Maintains program compliance with Oregon Administrative Rules including applicable state and federal laws relevant to clinical scope of work.

Administrative Support Functions

  • Plans and organizes clerical and administrative support activities; establishes procedures, practices, and work methods to increase effectiveness and efficiency.
  • Coordinates staff scheduling, disseminates information, assigns work and trains to equip staff with the necessary knowledge and skills for their assigned duties.
  • Completes special projects by organizing and coordinating information and requirements including planning, arranging, and meeting schedules as appropriate.
  • Assist with administrative tasks as needed.

Supervisory Functions (Admissions and Administrative Support)

  • Provides day-to-day leadership and maintains a work environment that supports a multidisciplinary, trauma-informed environment.
  • Initiates requisitions for hiring, takes part in the interview process, makes recommendations for hiring, and develops an onboarding training plan for new staff.
  • Oversees staff training (new hires and current staff), orientations, and supports professional development. . May send them to internal or external training events or conferences, as appropriate.
  • Ensures training plans and required training programs in Relias Online Learning Management System are completed within deadline.
  • Conducts employee performance review that includes regular check-ins, timely feedback, goal setting, mentoring and coaching as appropriate.
  • Applies the appropriate level of disciplinary actions within company policy as appropriate in partnership with the Human Resources Department.
  • Reviews departmental needs and may request budget approval as appropriate.
  • Ensures compliance with company policies, state and federal laws and regulations.
  • Monitors and ensures that staff follow procedures to promote quality practices to provide a safe environment.
  • Attends meetings and takes part in leadership discussions concerning revision, improvement, and expansion of existing programs and offers recommendations.
  • Facilitates staff meetings and works as a member of the leadership team.
  • Manages staff's timecards, including overtime and time-off requests.
  • Monitors and ensures the program is operating within budgetary guidelines.
  • Assists with the review and tracking of incident and accident reports.
  • Works in collaboration with other supervisors/leadership team members as appropriate to ensure smooth continuity of care.
  • Coordinates and maintains a working relationship with all referral sources.
  • Performs other duties as maybe assigned.

MINIMUM QUALIFICATIONS AND EXPERIENCE

Experience, Education, and Credentials

  • QMHA and CADC II (or higher) certifications obtained from MHACBO
  • Combination of relevant education and experience. Graduate degree in psychology, social work, or a behavioral science field from an accredited college or university - preferred.
  • Must have at least 5 years of substance use disorder counseling work experience.
  • Relevant supervisory experience in a patient care environment in a related field.

Knowledge, Skills, and Abilities

  • Excellent interpersonal skills: ability to work harmoniously with others of diverse backgrounds.
  • Excellent written and verbal communication skills.
  • Strong computer skills; relevant years of experience working on Microsoft Office and Electronic Health Records.
  • Advanced understanding of ASAM PPC-2R and DSM-5 required.
  • Intermediate understanding of Oregon Administrative Rules and applicable state and federal laws relevant to scope of work
  • Time management skills and flexibility to adjust hours to accommodate the needs of the job.
  • Ability to manage a wide array of tasks, projects, and responsibilities.
  • Qualified candidates must be able to pass reference checks and DHS criminal background check.
