Job Description
Modern Tech Company is offering an 8-Week, Part-Time Position 
Employment Dates:  May 29th (firm date)– August 1 (tentative date), Mon, Wed, Fri
Location:  Downtown, Pittsburgh 

Overall responsibility:

The MSP Procurement Administrator is responsible for the procurement process for hardware, software, and professional services. This includes working with vendors to generate quotes, placing orders, and ticketing updates for our engineers. The Administrator will also perform clerical tasks related to the procurement process, including documentation, invoicing clients and processing internal shipments.

Primary Duties and Responsibilities:

Key Responsibilities:

  1. Quoting Process:
    • Obtain and review quotes from suppliers that include hardware, software, and professional services driven by tech and sales staff.
    • Analyze quotes to determine the most cost-effective options while ensuring quality and timely delivery.
    • Collaborate with various departments to gather specifications and requirements for accurate quoting.

  2. Procurement Operations:
    • Manage the procurement process from requisition to purchase order issuance.
    • Document all goods and services sold to clients.
    • Generate invoices to clients on ordered goods and services.
    • Monitor and track orders to ensure timely delivery and resolve any discrepancies or issues that arise.
    • Process internal shipping requests by generating labels and arranging for outbound shipments. 

  3. Compliance and Risk Management:
    • Ensure compliance with company policies, procedures, and regulatory requirements.
Qualifications:

  • Proven experience as a Quoting and Procurement Specialist or similar role.
  • Proficient in using procurement software, Microsoft Office Suite, and other relevant tools.
  • Proficient in QuickBooks or similar software.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Attention to detail and a high level of accuracy in work output.
  • Ability to work in a fast-paced environment.
  • Possess excellent interpersonal and customer service skills.
  • Strong written and verbal communication skills
  • Must be able to manage time effectively.
Physical demands:

  • Ability to bend, squat, climb stairs, and lift occasionally.
  • Ability to lift up to 50 pounds occasionally.
