Job Description

 Pharmacy Tech Experience Preferred

A Medical Information Coordinator will perform activities to support ProPharma Group processes and services, for Medical Information (MI), Product Complaints and Adverse Event correspondence, load documents into the system and generate reports. Assist MI staff as needed, including general administrative functions. Maintain distinctive quality and commitment as the operating philosophy in carrying out all processes. Continually seek out ways to enhance customer service experience both internally and externally.

Essential Functions Include:

  • Case entry of electronic correspondence into multiple databases.
  • Generate and develop reports as directed: daily, weekly, monthly, quarterly, annual and ad hoc by specific group or product as directed.
  • Content management of documentation in ProPharma Group or client owned databases.
  • Send acknowledgement and fulfillment emails to client specific teams.
  • Assist with literature searches.
  • Perform clerical edits for letters format changes update references.
  • Maintain current distribution lists.
  • Download or purchase publications as directed.
  • Record/prepare meeting minutes.
  • Maintain controlled documents.
  • Fulfill and support outgoing MI correspondence.
  • Maintain indices for prepared responses.
  • Create and fill envelopes for outgoing MI correspondence.
  • Provide administrative support for MI group as needed.
  • Legacy case data entry from data migrations and electronic cases (current).
  • Prepare Medical Information outgoing mail.
  • Process USP, FedEx, and DHL mailers to collect product quality complaint samples.
  • Communicate with clients and send manual alerts as applicable for all case types.
  • Place outbound follow up calls to complete adverse event and product quality complaint reports and to collect additional information as requested by the client.
  • Create letters in response to product quality complaints and medical information questions as directed by the client.
  • Quality assurance review of applicable cases.
  • Other duties as assigned.

Qualifications

Qualified candidates must have:

  • Associates degree or equivalent work experience
  • Pharmacy Technician or other certified healthcare professional
  • Current license/certification appropriate with degree or equivalent from another country
  • Experience in work related customer service function
  • Computer data entry
  • Preferred: 2 years’ experience in related field of expertise or administrative experience
  • Preferred: Experience with medical terminology
  • Preferred: Call center experience
  • Proficient computer knowledge and computer keyboarding skills including intermediate proficiency in Microsoft Office Suite (Outlook, Word and Excel) to create client documents and reports.
  • Intermediate database skills to enter and retrieve information from multiple databases.
  • Flexibility and adaptability to meet changing needs of the group.
  • Strong verbal, written and interpersonal communication skills.
  • Strong organization and prioritization skills; with strong attention to detail.
  • Ability to work independently and within a team.
  • Detail oriented to create documents and reports.
  • Able to project professionalism and maintain composure in handling difficult situations and in times of stress.
  • Professional telephone etiquette; active listening and pleasant speaking.
  • Exceptional customer service skills.
