Assistant Office Manager

The ideal candidate will have strong organizational and leadership skills; ability to “take charge” of any and all facets of administrative support for our firm’s day-to-day operations and longer-term planning, working closely with our office/billing manager and partner attorneys. Looking for a “self-starter,” with the ability to own their responsibilities; take the initiative to “figure things out” independently, adhere to deadlines and learn new things. There will be several opportunities to gain valuable experience and pursue professional advancement at the firm.
a) Duties and Responsibilities:
· Assist, organize and execute on procedures and administrative duties for office systems, operations, purchasing, budgeting, and cost containment.
· Help to administer employee payroll, benefits, and human resources.
· Provide administrative support of accounts receivable, expenses and client billings, in collaboration with the firm’s office/billing manager and its management committee.
· Participate in routine/weekly meetings with the firm’s management committee, for tasking intake, action updates, strategy development and implementation.
· Coordinate and undertake communications for employee notices, office protocols, marketing, human resources, and related actions.
· Organize and execute on potential opportunities for enhanced efficiencies in office management, cost containment and expense management.
· Work on special projects, as part of a team.
b) Candidate Requirements:
· Able to work both independently and as part of a team.
· Strong ability to address and resolve tasks and challenges independently.
· Eager to learn and improve, as part of a team.
· Reliability, adherence to deadlines and ability to “following-through” on tasking
· Experience in clerical work and basic letter writing
· Proficient with Microsoft Outlook and virtual meeting scheduling (Zoom, Microsoft Teams), MS Word, Excel spreadsheets and Adobe document preparation.
· Minimum high school diploma.
c) Position Type, Compensation and Benefits
· Part-time or Full-time “at will” employee.
· Approx. 30-40 hours per week.
· Compensation commensurate with experience.
