Role Summary:

As an Office Administrator / Bookkeeper, you will play a critical role in maintaining our financial accuracy and contributing to our corporate culture. This position involves handling accounts receivable and payable, managing payroll and company benefits, basic bookkeeping, and maintaining internal records among other administrative tasks. This role requires attention to detail, strong organizational skills, and a capacity to work independently.

Key Responsibilities:

  • Manage accounts receivable and payable.
  • Oversee company payroll and benefit packages.
  • Perform basic bookkeeping and maintain financial records using QuickBooks.
  • Create and update company policies and procedures.
  • Serve as the first point of contact for personnel queries.
  • Assist with daily, weekly, and monthly management tasks.
  • Conduct basic marketing and procurement tasks.
  • Ensure smooth office operations and manage miscellaneous office duties.

Skills and Qualifications:

  • 3+ years of bookkeeping or administrative experience with increasing responsibility.
  • Expertise in Microsoft Office tools and QuickBooks Online.
  • Experience in managing payroll; Paylocity is a plus.
  • Strong written and verbal communication skills.
  • Demonstrated problem-solving skills and adaptability.
  • Familiarity with HR processes and responsibilities.

Soft Skills:

  • Excellent team player with personable and professional demeanor.
  • Exceptional communication abilities.
  • Strong attention to detail and problem-solving skills.

Educational and Professional Development:

  • No specific certifications required. QuickBooks Certified a Plus
  • Opportunities for paid training and growth into management roles.

Salary and Benefits:

  • $30/hr. parttime; $70k/year fulltime.
  • Comprehensive benefits including medical, dental, vision, and disability insurance, HSA, and “Unlimited” PTO after a 60-day period (fulltime only).
  • Optional SEP IRA with employer contributions.
  • Flexible working hours and hybrid work environment (in office Mondays and Tuesdays).

Performance and Growth:

  • Success in this role is demonstrated through accurate invoicing, reconciliation, and smooth office operations.
  • Performance measured via KPIs aligned with our EOS/Traction framework.
  • Role anticipated to evolve into managerial positions such as a controller or CFO.

Team and Management:

  • The role is part of a 13-member team and reports to the Finance Director.
  • Management style focuses on quarterly feedback, weekly status meetings, and annual performance reviews, with no micromanagement.
