Position Title: Grant Coordinator
Department: Administration
Reports to: Tribal Administrator
Classification: Non-Exempt
POSITION SUMMARY
Under the general supervision of the Tribal Administrator, the Grant Coordinator will perform a multitude of activities related to grant administration. Duties include assisting in the preparation of grant applications, journal entries, applying grant coding, running financial reports, preparing grant financials, and other grant related accounting/analyst functions as assigned.
The incumbent is expected to work in accordance with the mission, purpose, and values of the Colusa Indian Community Council.
ESSENTIAL DUTIES and RESPONSIBILITIES
- Participate in the budgeting process and detail for assigned grants;
- Research grant opportunities to identify best prospects for the Tribe;
- Match available grant opportunities with Tribal needs;
- Monitor budget activity for grants, resolve accounting and reporting issues as necessary;
- Prepare monthly grant financial reports for use by the Tribal Administrator;
- Manage all daily and biweekly processes in accordance within establish deadlines;
- Prepare journal entries, apply grant coding to PO’s, perform grant analysis and run grant financial reports;
- Assist in the preparation of grant proposals including project budgets, narratives, timelines, etc.;
- Track grant proposals and prepare follow up reports as needed;
- Monitor grant expenditures and ensure they are appropriate and allowable;
- Maintain records/spreadsheets for all grant activities;
- Assist Grants Administrator in completing monthly, quarterly, and annual grant reports;
- Identify issues, concerns and problems and communicate with Tribal Administrator as needed;
- Attend and participate in professional conferences and workshops to enhance position related efficiency and knowledge;
- Assist with audits, compliance and grant reporting;
- Provide assistance as needed to Admin department and Front Desk;
- May perform other duties commensurate with the functions and level of the position.
MINIMUM QUALIFICATIONS:
A combination of education and experience which provides the required knowledge, and abilities will be used to determine eligibility to qualify for this position.
- Experience: One (1) to two (2) years of administration management experience in a professional work environment. Prior experience in grant writing in a tribal environment is desirable.
- Substitution for Experience: An Associate’s degree in Accounting, Business Administration, or related field may be substituted for the experience requirement.
Miscellaneous Licensing/Credentials:
- Must be eighteen (18) years of age, at the time of appointment.
- Must possess a valid California Class C driver’s license.
ADDITIONAL KNOWLEDGE, SKILL and ABILITIES:
- Knowledge of accounting practices and procedures.
- Attention to detail and problem solving skills.
- Proficiency in Microsoft Office, specifically Excel.
- Strong written and verbal communication skills.
- Strong organizational and planning skills.
- Knowledge of computerized accounting systems and procedures.
- Ability to work in a strong team-based environment.
- Ability to work in a fast-paced environment and able to multi-task.
- Flexible and provides assistance to others when needed.
- Proven office management, administrative or assistant experience.
- Excellent time management skills and ability to prioritize work.
- Must be a dedicated worker with ability to report to work on a daily basis.
- Maintain high confidentiality standards at all times. Is required to sign a confidentiality statement upon acceptance of employment.
