PURPOSE:

The mission of the Office Manager is to ensure that the financial and accounting records of the dealership are kept accurately, and to maximize profit by providing timely and accurate information to departmental and upper management.

ESSENTIAL DUTIES:

  • Aggressively and cheerfully perform or ensure performance of any and all activities necessary to improve and maintain the highest possible Dealership Customer Satisfaction level.
  • Oversee the operation of the Business Office and ensure that staff members perform their jobs efficiently and accurately.
  • Review schedules and accounts daily for accuracy.
  • Produce MIS report each day and distribute to management.
  • Hire, train and motivate a Business Office staff that is capable of performing assigned tasks accurately and in a timely manner.
  • Process accounts receivable income and clear schedule.
  • Monitor work in process and sublet schedules for accuracy.
  • Work closely with factory on any incentives, rebates or co-op programs to ensure prompt payment of any moneys due to the dealership.
  • Monitor accounting entries made by Business Office staff to ensure that they are made to the correct account number.
  • Have a working knowledge of the function and responsibilities of each position in the business office and be able to perform those functions.
  • Maintain an adequately staffed, stable department through motivation, training, informative meetings, up to date job descriptions, and performance reviews.
  • Work closely with upper management and other department managers to ensure that their needs are met, and the lines of communication remain open.
  • Maintain good working relationships with factory personnel and be fair in all our dealings with factories.
  • Sustain the dealership’s standard for ethical business practices, professional image, orderliness, customer service and good employee and community relations.
  • Be a leader in the achievement of customer satisfaction and employee satisfaction through all activities.

 

OTHER DUTIES:

  • Control departmental expenses.
  • Be an active member of the Management Team.
  • Special projects as assigned by upper management.
  • Any other duties necessary to ensure the highest level of customer satisfaction, productivity, efficiency, safety and cleanliness possible in the dealership.

 

QUALIFICATIONS:

  • Minimum five years' experience in automotive accounting.
  • Excellent organizational and time management skills.
  • Leadership and interpersonal skills.
  • Self-motivated; able to work without supervision.
  • Willing to submit to a pre-employment background check and drug screen.
