Department: Property Management

Position: Assistant Property Manager

 

SCOPE / PURPOSE

Responsible for assisting Property Manager or Director of Property Management Division with day-to-day management of Company owned or third-party owned office/industrial/retail/mixed-use assets including maintenance, repairs, rent collections, maintaining facilities, operating costs and administration of operating budgets for each project. Position works closely with real estate agents with regard to lease administration. Position reports directly to the Director of Property Management. This position has no direct reports.

 

ACCOUNTABILITIES

ASSISTANT PROPERTY MANAGER’S ACCOUNTABILITIES INCLUDE, BUT ARE NOT LIMITED TO:

· Assist with property accounting

· Frequent interface with vendors and tenants

· Assist with preparation of common area expense reconciliations

· Collaborate with property management and maintenance staffs

· Assist with administration of new tenant move-in actions

· Assist with administration of tenant move-out actions and/or evictions/terminations

· Input executed leases approved by Director of Property Management

· Assist with preparation of Monthly Report Packages

· Prepare 3-day notices and communicate with legal counsel as needed

· Assist with routine property inspections

· Prepare lease abstracts

· Set up and maintain tenant files, verify proper and required lease documents (physical and on server)

· Run monthly rent trials

· Review tenant charges and late fees for accuracy

· Prepare and verify tenant rent statements/invoices and mail or email to tenants

· Research tenant disputes and payment discrepancies

· Maintain tenant correspondence

· Coordinate rent collections/delinquencies, reconciliations and report to Director of Property Management

· Code invoices

· Track missing invoices

· Invoice processing and approval as required

· Coordinate/review maintenance with Sr. Maintenance Engineer and other maintenance staff as required

· Follow-up and monitoring of maintenance/repair projects

· Work order administration and reporting in JOBBER software

· Keep track of tenant, vendor, property files and contacts

· Field tenant and vendor calls

· Maintain mail and copy logs

 

MINIMUM QUALIFICATIONS

· HS diploma, bachelor degree in Business or related field OR 3 or more years of property management experience

· Professional demeanor

· Strong computer skills and proficiency in Excel, Word, and Timberline or similar management software

· Strong understanding of industry specific terms and processes

· Excellent organizational and multi-tasking skills

· Strong supervisory skills

· Excellent oral and written communication skills

· Excellent interpersonal skills

· Access to reliable transportation and valid driver’s license for travel to local properties

· Available to work schedule required to complete the job

 

DESIRED QUALIFICATIONS:

· Bilingual (Spanish)

· CPM, RPA, or LCAM (or candidate)

 

LICENSES/CERTIFICATIONS:

· State real estate license (or candidate) preferred
